Position Summary 

To advance Teach For All’s 25-year vision and intended outcomes, we are seeking an Events Coordinator who will be part of our Global Events Team. The events coordinator will be responsible for managing up to 6 in-person and virtual internal and external conferences (including our flagship Global Conference). Providing end to end support from the planning phase to on-the-ground execution and event wrap-up, including payments and impact evaluation. This role will take you all over the world, as you support our organization in the delivery of high-caliber events.

About the Team 

This role sits within the Learning Experiences Team whose goal is to strategically co-design and implement a cohesive suite of impactful, inclusive and user-centered events, learning experiences, platforms and resources, so our network can connect, learn, and collectively reimagine more equitable systems for children everywhere. It is an agile global team of  learning designers, learning strategists, event designers, content designers, digital learning experts and project managers.

As an Events Coordinator, you will engage in the following and/or similar activities: 

The primary responsibility of this role is to deliver successful, inspiring and impactful events on a regular basis. Other responsibilities include playing a key role in other learning experiences as the need arises.

Key elements of the role include

Project Management, event planning, budgeting, and logistics (80%):

  • Manage the project planning, budgeting, communication with participants and execution of logistics for approximately 5-6 events per year. Must exercise judgment in juggling competing priorities and managing time across multiple projects at once, including assessing event needs against costs and independently making decisions on all logistics
  • Provide direction through a logistics perspective on overall event and session design and attendee experience, including on diversity, equity and inclusion, and work closely with the content lead on each event
  • Balance across needs of various internal and external stakeholders and demonstrate leadership and adaptability while managing toward budget/event policies and ensure that learning objectives can be met.
  • Negotiate with external vendor and balance hidden and external costs in order to stay within strict event budgets in a non-profit environment
  • Lead on-the-ground support to ensure seamless delivery of the event in order to meet the outlined learning objectives. Requires independent judgment to problem-solve issues of widely ranging nature and troubleshoot immediate challenges and make quick decisions when faced with unexpected circumstances.
  • Independently manage end-to-end vendor relationships including needs assessment, selection, contracting and payment, and ongoing vendor management for supported events.
  • Lead one of the main conference processes (e.g., transport, communication, content liaison, etc.) during Teach For All’s flagship Global Conference, hosted by a different partner each year, which gathers more than 600 education experts, partner staff, supporters and more from 60+ countries

Other Conference Support:  (20%):

  • Lead the development of specific internal team processes by tracking, updating and improving the internal system and continuously manage wider team knowledge in that field (e.g., budget systems, Diversity/Equity/Inclusion, Quantitative and qualitative impact and data evaluation, Attendee registration and communication on Teach For All’s online learning platform, etc.)

As the ideal candidate, you will bring: 

  • Proven experience managing in-person events
  • Strong communicator and negotiator, able to work with stakeholders and external partners from a range of cultures
  • Strong reasoning and strategic problem solving abilities
  • Ability to be adaptable to an entrepreneurial, fast-paced, results-oriented culture
  • Ability to manage under pressure and exhibit sound decision-making
  • Proven expertise in working in agile team settings with ability to work independently when required.
  • Ability to build strong relationships with multiple stakeholders and external partners including people in leadership positions
  • Experience of delivering complex projects with strict deadlines
  • Interest in and exposure to practices which promote inclusive learning environments
  • An orientation to creativity & innovation, while also valuing and utilizing best practices and past learning
  • Ability to exercise judgment in juggling competing priorities and managing time across multiple projects at once
  • Strong self-starter
  • Preference to candidates who can speak additional languages apart from English
  • Ability and willingness to travel internationally

Compensation

Salary for this position is competitive and dependent on country of hire, prior work experience and includes a comprehensive benefits package.

Work Authorization

Travel and Hours

Travel is possible when it is safe to do so and in accordance with local travel guidelines. Given that we work across different time zones, some non-traditional hours for early or later calls are an expectation of this role.
