VACANCY: SENIOR OPERATIONS OFFICER
The Institute of Internal Auditors Malawi (IIAM) is the internal audit profession’s national voice, chief advocate, recognized authority, acknowledged leader, and principal educator. The IIAM’s mission is to be the primary national professional association, organized on a country-wide basis, dedicated to the promotion and development of the practice of internal auditing.
Job Summary
Responsible to the Chief Executive Officer for organising, marketing, and managing IIAM programme events; including conferences, annual general meetings, courses/workshops, press releases, stakeholder briefings with a view to build strong relationships between members with stakeholders including the media.
Primary Responsibilities
  • Determine and evaluate membership needs and translate those needs into programme of events in order to plan and manage those programmes and events that include meetings, conferences, and workshops.
  • Working with board committees to develop programmes that are satisfactory to achieve institutes strategic objectives.
  • Plan the implementation and facilitation of activities and events and providing logistical support for the delivery of various programme events.
  • In liaison with Board Committees prepare and implement committees’ budgets.
  • Work with media to coordinate press events for appropriate timed messaging to effectively promote events.
  • Document events activities prior to and during the events for internal and external communications.
  • Coordinate appointments and scheduling of events on the calendar.
  • Maintain records for meetings and activities of various sub-committees; and
  • Maintain database for members.
What to expect
  • Work is generally office based with the exception of meetings, training and conference delivery, which normally take place off the premises and at various locations in the country.
  • Getting to assess members’ needs and know the environment the Institute is operating in.
  • May be required to work overtime and weekends for special programme events.
  • Working to meet deadlines is a matter of necessity.
Job Requirements
  • Applicants must be graduates of a bachelor’s degree in business administration, or marketing and three years relevant experience in a similar position. Those with internal audit related qualifications will have added advantage.
  • Interpersonal skills that enable you to work with members of the Institute at all levels and other stakeholders and to motivate people working in internal audit to register as members are necessary.
  • Written and spoken communication skills that allow you to disseminate information and advice others clearly.
  • Problem-solving and negotiation skills.
  • Analytical and creative skills you need to plan an event from beginning to end.
  • Organisational and planning skills to manage time and to meet deadlines and objectives.
  • An understanding of the different aspects of event planning, including logistics, marketing, and presentation; and
  • Good time-keeping skills to enable you to effectively manage programmes and events schedules.
