Salima Sugar Company Limited (SSCL) is a limited liability Company incorporated in Malawi under the Companies Act with postal address P.O. Box 200, Lilongwe and Head Office at Matundu Mbulo Office Complex in Lilongwe.
SSCL is a subsidiary of Greenbelt Investments Holdings Limited.The Company’s business is
development of sugar plantations, production of sugar and its by-products for the Malawi and export markets.
The Company is now looking for dynamic and well versed individuals to fill the following positions:
Job Title: Receptionist
Location: Lilongwe
Reporting to: Human Resources Assistant Supervisor
The Post
A Receptionist’s job is to manage the front desk of our office, welcoming guests, answering phones, and directing inquiries. She or he also handle administrative tasks like scheduling meetings, mail sorting, and maintaining the reception area.
Core Duties:
- Welcoming and Directing Visitors: Greet guests professionally, determine their needs, and direct them to the appropriate person or office.
- Answering and Transferring Calls: Handle phone calls, provide information, and transfer calls to the correct departments or individuals.
- Scheduling Appointments: Manage appointment calendars, schedule meetings, and remind attendees.
- Managing Office Supplies: Maintain an organized reception area, ensure adequate office supplies, and order replacements as needed.
- Handling Mail and Packages: Receive, sort, and distribute mail and packages.
- Providing Information: Answer inquiries about the company, its products or services, and provide directions.
- Maintaining Records: Keep records of visitors, phone calls, and other administrative data.
Additional Administrative Tasks:
- Filing and Data Entry: Organize and maintain physical and digital files.
- Transcription and Typing: Prepare documents, reports, and other materials.
- Assisting with HR Tasks: May help with scheduling interviews, onboarding new hires, or other HR-related tasks.
- Supporting Other Departments: Provide clerical support to other departments as needed.
Essential Skills:
- Strong Communication Skills: Ability to communicate effectively with visitors, employees, and clients.
- Organizational Skills: Ability to maintain a clean and organized reception area and manage administrative tasks efficiently.
- Computer Literacy: Familiarity with office software and equipment.
- Problem-Solving Skills: Ability to handle inquiries and resolve issues.
- Professional Demeanour: Maintain a positive and professional attitude in all interactions.
Qualifications
Malawi School Certificate and Diploma in Secretarial Studies with three years’ experience. Computer knowledge is a must.
