Malawi Catering Services Limited wishes to invite applications from suitably qualified individuals of Malawi origin to fill the following vacant position tenable at its Business Unit at Mpale Cultural Village in Mangochi and at the Head Office (KIA).
RECEPTIONIST 1 POSITION
Duties
A receptionist serves as the primary point of contact for visitors and clients, managing front desk operations and performing various administrative tasks to ensure the smooth functioning of the office.
Reporting to the Operations Executive, duties shall include, but not limited to: –
- Welcoming guests as they arrive, providing a friendly and professional manner and a professional first impression of Maple Cultural Village;
- Keeping the front office tidy and presentable as it reflects the Company’s professionalism;
- Managing incoming phone calls and ensuring that enquiries are directed to the relevant officials if deemed necessary;
- Performing various clerical tasks such as handling incoming and outgoing mail and also maintaining office supplies;
- Assisting guests by providing information about Mpale Cultural Village, its services and directing them to their rooms;
- Managing bookings for rooms and conference hall as per the requirement of guests or clients;
- Ability to handle customer inquiries and complaints;
- Carrying out Mpale Cultural Village Stores functions such as receiving, inspecting, and verifying deliveries against purchase orders, maintaining inventories, ordering new items;
- Keeping records of transferred items.
- Ensuring compliance with Stores procedures.
- Ensuring proper documentation of stock movements and inventory control.
- Issuing and distributing materials to user departments based on approved requests.
- Monitoring stock levels and initiating replenishment where necessary.
- Conducting periodic stock reconciliations and reporting discrepancies.
- Maintaining proper storage conditions to prevent damage and loss.
- Ensuring a well-organized and secure stores environment and
- Any other duties as assigned from time to time.
Requirements and Skills
- Knowledge of organizational effectiveness and operations management
- Experience in Hotel Master System
- Excellent communication skills
- Sales oriented (Rooms, conference facilities, Restaurant, Swimming Pool, Cultural edutainment and Bar)
- Understanding of finance principles, supply chain management, workflow, and staffing issues.
Qualifications and Experience
- Diploma in Hotel and Tourism Management or its equivalent, those with a Certificate in Purchasing and Supply Chain Management will have an added advantage.
- Malawi School Certificate of Education (MSCE)
- A minimum of 2 – 3 years’ work experience in a hotel set-up or a busy Front Office.
Knowledge, Skills, and Abilities
- Excellent verbal and written communication skills;
- Able to multitask with strong organization skills;
- Familiarity with office software and ACCPAC/Hotel Master systems;
- Ability to pay attention to detail;
- Excellent analytical skills;
- Interpersonal skills;
