Job Title: Receptionist

Reports To: Front Office Manager

Job Summary:

The Hotel Receptionist is the first point of contact for guests and plays a crucial role in ensuring a positive guest experience. This role involves greeting guests, performing check-in and check-out procedures, handling reservations, and providing information and assistance to guests throughout their stay.

Key Responsibilities:

  • Welcome and greet guests upon arrival with a warm and friendly demeanor.

  • Perform check-in and check-out procedures efficiently and accurately.

  • Handle guest complaints or concerns with professionalism and prompt resolution.

  • Confirm reservations and ensure accurate input of guest information in the hotel management system.

  • Update and manage room availability to optimize occupancy rates.

  • Handle cash, credit card transactions, and maintain accurate records of all transactions.

  • Prepare and distribute keys, fobs, and room information to guests.

  • Coordinate with housekeeping department to ensure timely room availability

  • Answer phone calls promptly and direct them to the appropriate departments or individuals.

  • Communicate effectively with other hotel staff to ensure smooth operations and exceptional guest service.

  • Relay important information and updates to the Front Office Manager.

Qualifications:

  • Certificate in hospitality or related field. Diploma in related field is an added advantage

  • Minimum of 1 year previous experience in a customer service role, preferably in a hotel or hospitality setting.

  • Excellent verbal and written communication skills.

  • Proficiency in using hotel management software and basic computer applications

  • Strong organizational and multitasking abilities.

  • Ability to remain calm and professional in high-stress situations.

  • Friendly, approachable, and customer-focused attitude.

  • Willing to work various shifts, including mornings, evenings, night, weekends, and holidays.
