Post: Quality Assurance Officer (Grade I)
Reporting to: Dean of Academics
This is a position of responsibility that requires the ability to work autonomously and the confidence to provide sound direction and guidance to colleagues, both junior and senior, in respect of quality assurance requirements and procedures.
Key Responsibilities:
- Support the College to ensure the development of fit for purpose quality assurance policies and procedures and monitor implementation and effectiveness of the same
- Coordinate and oversee the process for learner complaints, academic impropriety etc., and ensure correct processes are implemented in this regard in line with the College
Quality Assurance protocols
- Act as Secretary to academic team and/or designated sub-committees
- Manage administration associated with new programme validations and programmatic reviews, including logistics management, note taking, liaising with relevant academic faculty and panel members and working with relevant
Chairpersons of committees in the discharge of their duties
- Act as desk reviewer for all programme validations and reviews
- Support the institutional review process and the completion of institutional selfevaluation;
- Lead development, evaluation and review of annual quality assurance activities
- Manage the process of ensuring the accuracy of information received and the communication of same post validation / review process;
- Ensure Management is notified of new programme validations or changes to validated programmes for setting up the programmes on the student management system
- Liaise with the academic team for the management of the curriculum set up on the student management system. Ensure that the programmes are accurately uploaded onto the student management system as per the approved programme schedules
- Undertake an annual audit and reconciliation of active programmes for notification to
Management
- Establish, monitor and maintain a central library of documentation pertaining to the activities of the academic department and ensure the consistent application of a robust version control process
- Act as a point of contact and communication conduit with validating bodies as required
- Provide guidance in the development, implementation, monitoring and review of quality assurance procedures, including in developing and delivering training and information sessions for staff
- Keep an accurate record of all approved programme schedules and dates in which they are due for their next review
- Maintain the external examiner register, and liaise with external examiners as required and appropriate, including supporting the external examiner induction process
- Assist the wider academic team in the completion of administration where required and specifically support the assessment and regulations team, in the completion of team responsibilities
- Assist with graduation and student registration
- Any other such duty as deemed commensurate with the role.
Qualifications and Competencies:
- Candidate must have a Bachelor’s Degree in Education
- Must have experience of working within a regulatory framework
- Three years of relevant work experience
- Must have knowledge and understanding of quality assurance in a higher education context
- Must have proven ability to work under own initiative and as part of a team
- He/she must be a highly effective communicator, verbally and in writing
