POSITION: PURCHASING AND PROCUREMENT SPECIALIST

Location: Blantyre

JOB DESCRIPTION

Applications are invited from suitably qualified candidates to fill the Purchasing and Procurement Specialist position in the Finance and Administration Department tenable at Head Office in Blantyre. The successful candidate will report to the Purchasing and Procurement Manager. The major activities of the position are:

HEALTH SAFETY AND ENVIRONMENT(HSE):

1. Implementing the HSE and Contractor Management System
2. Reporting all incidents, accidents, deviations and near misses on site and off site.
3. Stopping all acts, activities or operations deemed unsafe on site using the stop card
4. Attending/organizing HSE trainings whenever called upon
5. Ensuring disposal of any waste is done safely
6. Handling all provided work tools and equipment with care and maintain in good condition

OPERATIONAL:

1. Implementing/using the available procedures and tools at all times
2. Prepare for project sanction meetings
3. Assessing technical needs as requested for accuracy, correct specifications etc.
4. Carrying out regular market surveys on costing of procurement items on the market
5. Attending site meetings on behalf of procurement and carry out supplier evaluations
6. Checking the accuracy of submitted invoices with respect to actual work done
7. Processing purchase requests from internal users in a timely manner.
8. Negotiating competitive discounts/rates with suppliers to achieve good savings on behalf of the company.
9. Developing/monitoring key performance indicators for all suppliers.
10. Monitoring the validity of the supplier contracts within your scope
11. Vetting of suppliers on an annual basis

Qualification and Experience

1. Minimum of Bachelor of Science in Civil or Mechanical Engineering with at least 5 years relevant post qualifying experience
2. At least 3 years work experience in project management and costing
3. Member of Malawi Institute of Procurement and Supply
4. Strong Integrity and ethical standards are a must
5. Strong negotiation, contractual law, verbal & written communication skills.
6. Strong and effective interpersonal skills
7. Must abide by strict confidentiality and non-disclosure requirements
8. Ability to maintain quality and safety standards at all times
