Job Title : 1x Project Coordinator

Reports to : Projects Manag

Location : Liwonde, Machinga

ROLE PURPOSE

The primary function of the Project Coordinator is effective implementation of the Economic Empowerment Project activities across Machinga, Balaka and Mangochi Districts. The Project Coordinator will contribute to integration of project activities; as well as coordinating the workplans in the project interventions including providing trainings and technical support to districts and community level staff in Machinga, Balaka and Mangochi.

KEY ROLES AND RESPONSIBILITIES

  • Operational planning and implementation
  • Support development of and coordination of project and Integral Mission annual workplans
  • Support project and Integral Mission implementation plans, phased budgets, documentation and reporting
  • Lead spiritual formation initiatives amongst project staff where attendance is compulsory.
  • Provide solutions/support to expedite implementation and budget performance of projects
  • Ensure compliance with agreed work plans and that project objectives and targets are achieved
  • Provide guidance to Project Officers to develop plans that are cost effective and in line with Detailed Implementation Plan
  • Ensure integrity and timeliness of project duration and objectives
  • Provide regular operations and implementation updates to line manager on project progress and challenges to allow for timely interventions and corrective actions by management
  • Review project operational and implementation plans and budgets from time to time
  • Orient new staff in understanding of WRM mission, vision and values, spiritual formation and key elements of Integral Mission
  • Monitor and ensure timely and quality reports are submitted as per the reporting requirements

Projects coordination

  • Plan and oversee the implementation of Integral Mission and projects activities
  • Provide mentorship coaching and supervision to project staff on spiritual formation and Integral Mission initiative.
  • Organise and occasionally participate in field monitoring visits as part of project supervision in the impact area
  • Coordinate relationships with other stakeholders (governmental, non-governmental and religious institutions) for assigned districts as appropriate. Participate in regional stakeholder forums
  • Ensure quality documentation of program and Integral Mission achievements, success stories and lessons learned
  • Review and finalize periodic and annual project and Integral Mission reports for review by Projects Manager
  • Ensure quality delivery, documentation and reporting of project and Integral Mission activities

Finance and budget management

  • Support budget performance to ensure that projects are on course as per detailed implementation plans and phased budgets
  • Conduct project monitoring, suggest necessary revisions and prepare draft reports for corrective actions
  • Monitor budget variance analysis and report variances on time and with accurate information
  • Project narrative and financial reporting
  • Prepare project narrative and financial reports as per donor reporting schedules and formats
  • Review narrative and financial reports following reporting guidelines, deadlines, and standards
  • Organize and facilitate quarterly follow ups and progress review meetings to address key performance issues from the reports
  • Review overall budget versus actual expenditure analysis and variance explanations
  • Develop, implement and evaluate quality assurance measures and ensure further follow ups

MEAL

  • Support assessments, baseline and evaluation studies, documentation of projects case studies, putting in place a functional activity tracking table
  • Prepare and provide regular monthly progress reports in coordination with the MEAL Officer
  • Timely submission of tracking of indictor progress on regular basics
  • Collect and manage complaints and feedback in coordination with MEAL teams
  • Monitor projects and Integral Mission activities to ensure quality, timeliness and adherence to policies, procedures or plans
  • Ensure regular assessment, monitoring and evaluation of projects and Integral Mission, identify areas of concern, and submit workable solutions for identified challenges

QUALIFICATIONS

Bachelor’s degree in Agriculture Economics, Enterprise Development, Business Administration, Social Sciences or any equivalent qualification

EXPERIENCE AND SKILLS

  • 4 years at officer level; or 2 years at officer level and 2 years at senior officer level in a busy nongovernmental organisation in development and coordination of related project activities with firm grounding in coordination across or within a district
  • Knowledge and experience of the Ultra Poor Graduation Models
  • Practical experience and or ability to work effectively with relevant governmental ministries, donors, partners, community leaders, and other non-governmental stakeholders preferred
  • Proficiency in writing technical and programmatic reports
  • A blend of professional practice and projects management including understanding on project quality assurance standards
  • Experience of financial planning and expenditure monitoring as well as budget management
  • Experience of community participation, ownership and empowerment.
