Job Title: Procurement Supervisor

 

Reports to: Chief Operations Officer (COO)

Department: Operations

Location: Lilongwe.

 

Job Summary:

The Procurement Supervisor will manage the sourcing and purchasing of materials and supplies, maintain accurate inventory levels, and coordinate transportation and delivery of goods. This role ensures the smooth flow of procurement activities while optimizing costs and efficiency.

 

Key Responsibilities:

Procurement:

– Source, evaluate, and select suppliers based on price, quality, and service.

– Negotiate terms and conditions of purchase agreements.

– Issue and manage purchase orders in line with organizational policies.

– Maintain vendor records and relationships.

– Coordinate with internal departments to forecast operational needs.

 

Inventory Management:

– Monitor and maintain inventory levels to meet operational demands.

– Conduct regular stock takes and reconcile discrepancies.

– Implement inventory control practices to reduce waste and avoid stockouts/overstocking.

– Maintain inventory data in inventory management systems.

– Prepare inventory reports for management and finance teams.

 

Logistics:

– Plan and coordinate inbound and outbound shipments.

– Liaise with freight forwarders, couriers, and transport companies to ensure timely and cost-effective delivery.

– Track shipments, shipping documentation, and manage delivery schedules.

– Ensure compliance with import/export regulations and documentation.

– Resolve delivery issues, delays, and damages in transit.

Required Qualifications and Experience:

– Diploma in Procurement, Business Administration, or a related field.

– Knowledge of logistics operations and shipping regulations.

– Experience in international logistics or import/export procedures.

– Strong negotiation and communication skills.

 

Preferred Qualifications:

– Familiarity with customs clearance.

– Proficiency in procurement and inventory management software.
