POSITION : Procurement Officer (E1)

Grade : E1

Organisational Unit : Supply Chain Management

Reporting To : Team Leader

Duty Station : Head Office

Job Type : Full-time

 

MAIN FUNCTION
To ensure that all procurement and disposal activities are conducted in compliance with the Public Procurement and Disposal of Assets Act while adopting best practices of procurement and supply chain management in order to obtain value for money.
SPECIFIC DUTIES:
  • Vetting and modifying specifications/Bill of Quantities/Description of services submitted by user divisions.
  • Drafting and issuing tender documents.
  • Supporting the Internal Procurement and Disposal Committee (IPDC) in tender opening.
  • Facilitating evaluation of bids for both low and high value procurements.
  • Preparing and submitting presentations for IPDC approval.
  • Maintaining files for all processed transactions.
  • Sourcing quotations from suppliers and preparing purchase order.
  • Advising the warehouse on all created purchase orders for goods.
  • Procuring airtime for entitled staff and functional telephone airtime.
  • Producing weekly reports for all transactions handled and preparing monthly reports for Procurement Unit.
QUALIFICATIONS AND EXPERIENCE
  • A minimum Bachelor’s Degree of Procurement & Logistics or a Graduate/ Professional Diploma in Chartered Institute of Purchasing and Supply (CIPS)
  • At least 3 years’ experience in a similar role.
  • Must be duly registered with the Malawi Institute of Procurement and Supply (MIPS)

  • Must have good stock and project management knowledge.
Successful candidates before being appointed will undergo an extensive background check of their integrity and conduct. The Authority will make an offer only if the vetting results are favourable.
