CARE International in Malawi was awarded a cooperative agreement from the U.S Agency for
International Development’s Bureau of Humanitarian Affairs (USAID/BHA), to implement a five-
year (FY20-FY24) Resilience Food Security Activity (RFSA) to improve and sustain the food and
nutrition security of vulnerable populations in Zomba and Mangochi Districts. CARE is working in
a consortium with Save the Children, Emmanuel International, WaterAid, NASFAM, and IFPRI, as
well as other associated organizations and partners.
Consequently, CARE Malawi is looking for suitably qualified persons to fill the vacant positions
available in the TITUKULANE Project based in Zomba.
Procurement Officer
The Procurement Officer will provide general support for TITUKULANE Project. This includes maintaining Procurement cleanliness and assisting with Procurement duties as required. S/he will
set up for Procurement/program meetings as required in coordination with the Procurement
Specialist. The Procurement Officer is expected to be flexible and work longer than the normal
office hours. S/he is expected to report to work early to prepare, maintain and assist with Procurement duties.
Specific Roles and Responsibilities
The successful candidate will be expected to perform the following specific duties:
- Send out Requests for Quotations (RFQs) for all procurement requisitions allocated by the Procurement Specialist, get quotations from approved vendors and matches the quotation
from approved vendors with he RFQs sent out. - Track Purchase Orders and deliveries to ensure timely deliveries and timely reporting and
problems being faced that may affect timely delivery. - Ensure that upon confirmation of receipt of goods from the Office Assistant in the form of
GRN, copies of all the documents relating to the transactions are made and originals promptly
forwarded to Finance Department for payment. - Responsible for timely filling of all procurement documents i.e., Purchase Requisitions and
Purchase Orders and files them in sequential order. - Assist the Office Assistant in the receipt of goods supplied by vendors (especially on quality of delivered materials against sample which was provided by the vendor). The Procurement Assistant backstops the Procurement Specialist on all Procurement functions.
Minimum Required Qualifications, skills and relevant work experience
- Minimum of Advanced Diploma in Procurement
- At least 4 years experience in procurement obtained from a busy INGO
- Proficient computer skills especially Microsoft Excel
- Be willing to take on extra responsibilities in order to achieve the goals/objectives set by the
organization
