Position Overview
Reporting to the Procurement Manager the position holder will support the management of procurement processes of the hospital, while maintaining high standards of integrity and accuracy.
Essential Duties
Coordination of Procurement Processes
- Provides procurement, logistical and administrative support to the Procurement Manager.
- Receive all incoming requisitions and co-ordinate the flow in an effective and efficient manner using the laid down procedures ensuring that goods and services are being delivered in time.
- Verify all goods delivered to the hospital as per LPO and ensure the Procurement Manager signs the GRN.
- Follow up with suppliers on the sourcing process to ensure timely delivery to end user.
- Maintain an updated supplier’s database.
- Assist in preparing of LPOs and send them to suppliers
- Monitors status of existing requisitions, maintain contact with suppliers to ensure timely delivery of goods and services
- Prepare quotations analysis for quotations received for approval
Tender Processes
- Assist in preparation of tender documents and soliciting of tender/ quotations.
- Assist in the establishment of appropriate frameworks to enable improved organizational efficiency
- Carry out analysis of quotations and prepare relevant reports.
Internal and External Relations
- Assist in fostering good business relationships between suppliers and internal customers.
- Answer incoming queries regarding outstanding procurement requests.
Record Keeping and Communication
- Updated records of inventory.
- Arrangement of goods in an orderly system within the stock location so that the stock can be recorded, stored easily and retrieved whenever there is a requirement ensure that the stocks stay physically protected in the respective locations;
- Update Bin Cards and Assist in periodic stock-taking
- Ensure communication to various departments and the Procurement Manager when stocks reach re-order level
- Assist in filling of all necessary procurement documents ensuring that a well-functioning filling system for all procurement documents is in order
Education/Experience Requirements
- Diploma in Procurement from an accredited institution.
- Minimum of 3 years experience in procurement.
- Those proficiency in procurement software will have an added advantage.
- Should be a registered member of Malawi Institute of Procurement and Supply.
Competencies And Skills
- Ability to communicate effectively in written English
- Computer knowledge with experience using Microsoft Office
- Attention to details
- Risk Management.
