In order to fulfil its vision effectively and excellently, opportunity has risen to engage qualified person of Malawian origin to fill post tenable at its head office in Lilongwe. Position : Procurement and Logistics Officer

Position Summary

The COTN Malawi Procurement and Logistics Officer is responsible for the overall COTN logistic and procurement operations in coordination with Internal Procurement Committee.

The incumbent must possess broad knowledge in the procurement and logistic processes, people’s management, finance, vehicles, inventories and monitoring of assets and activities.

Main Duties and Responsibilities

  • Ensure that the COTN guiding lines are adhered to in the COTN- Malawi Office
  • Actively engage and support the program teams in procurement planning to ensure timely delivery of the project inputs and activities.
  • Plan and engage with department heads to understand contract specifications and with suppliers to develop a profile of delivery capability which result in effective market engagement
  • Identity, negotiate and implement contract and framework agreement that result in efficiencies in line with financial and forecasting requirements.
  • Maintain accurate auditable records of all procurement process which result in high process compliance
  • Administer contract performance including delivery, receipt, warranty, dangers and insurance.
  • Conduct efficient and collaborative procurement which are COTN international compliant and which result in high value adding commercial outcome.
  • Responsible for all invitation bids at country coordination office
  • Implement COTN asset management strategies i.e. monthly updating of asset register, bi-annual physical asset verification and annual asset of insurance.
  • Ensure a robust fleet management system and that any vehicle damage/accident is reported immediately and necessary follow-up is made.
  • Continuously monitor and keep records of vehicle fleet/ motorcycles/generators fuel consumption through weekly reports.
  • Assist the Country Director in overseeing security of COTN premises.
  • Exercise leadership and offer daily supervision of country procurement and logistics procedures
  • On regular basis, assess and liaise with management procurement and logistics staffing resource needs.

Qualifications, Experience, Skills and Competences

  • A Degree in Procurement and Logistics
  • Supply or the equivalent professional qualification in procurement and supply.
  • Experience in financial management of tendering processes and audits
  • Proven commitment to accountable practices
  • Good and clear communication and writing kills in English
  • A proactive person who is able to work independently and at the same time a good team player.
  • Mature born again Christian from a reputable Christian organization or ministry.
  • Computer literate (proficiency in MS word and excel).
