Job Title : Procurement and Disposal Officer

Grade : GBA 5

Responsible to : Procurement Manager

Responsible for : None

Location : Lilongwe


To provide professional, quality procurement technical support service to GBA management and staff in line with the institution’s policy, Procurement Act and PPDA Guidelines.



Main Duties
• * Assisting Procurement and Disposal Manager with preparation of Annual Procurement and Disposal Plans
• Implementing, monitoring and proposing reviews of procurement policies, procedures, standards and regulations.
• Maintaining records and inventories for post reviews, procurement audits, and assist Procurement and Disposal Manager to maintain procurement databases and register;
• Preparing evaluation and selection reports and contracts for approval by Procurement and Disposal Manager and the GBA Internal Procurement and Disposal Committee;
• Assisting in negotiations concerning service contracts and report therein;
• Managing and monitoring supply and service contracts and logistics related to procurement activities;
• Conducting procurement and disposal of goods, works and services required by GBA in accordance with requirements
• Guiding GBA User Departments in the preparation of Specifications and Terms of Reference and the tender evaluation process;
• Interpreting procurement policies, regulations and guidelines.
• Liaising with user departments to come up with correct product and service specifications.
• Preparing requests for quotations and bid documents and coordinating closing, opening and evaluation of bid documents
• Sourcing and disposal of goods and services
• Preparing and monitoring procurement contracts.
• Preparing minutes and reports for the Internal Procurement and Committee (IPDC)
• Prepare monthly procurement reports;

Qualifications and Experience

A Bachelors Degree in Supply Chain Management or its relevant plus at least three (3) years relevant experience. Must be a registered member of MIPs.


 Have good interpersonal skills and ability to work with teams;

 Consistently stick to procedures and systems;

 Be Proactive;

 Be able to work under pressure;

 Have strong analytical skills; and

 Be computer literate.
