In Malawi, MSF works in collaboration with the Ministry of Health and the local community in integrated HIV/AIDS in Chiradzulu District and Cervical Cancer projects Blantyre districts.
MSFF is looking for its Chiradzulu Office:
PHARMACY SUPERVISOR – 1 POSITION
Workplace : Chiradzulu
Type of contract : 6 months Fixed term contract
Start date : Immediate
Main purpose of the position
Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with MSF standards, protocols and procedures, in order to ensure its efficiency and operating availability.
Main responsibilities
  • Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents)
  • Implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations and in cooperation with the logistics department.
  • Coordinating the delivery, reception and recording of international and local orders/donations, in close coordination with the logistics department
  • Informing line managers on their status (ruptures, pre-ruptures, overstock, expiring items), in order to permanently ensure security stock levels and ensure efficient management of stock.
  • Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.
  • Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks and using cold chain when needed. Monitoring and analyzing orders of depending pharmacies in order to avoid ruptures of stock or having expired drugs.
  • Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmacy team in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.
  • Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalize the budget and to ensure availability
At MSF office level:
  • Supervise the monthly partial and general inventory
  • Prepare and review the monthly analysis with MFP: have an action plan for the overstock, sleeping stock and expiring items
  • Prepare the monthly report for HQ
  • Work closely with all MSFF projects (CC, CBO, emergency) and coordination pharmacy team to anticipate ex-changes between projects and avoid items expiring
  • Discuss with the medical team when there is an abnormal consumption of items (over or under consumption)
  • Ensure proper maintenance of cold chain and follow the contingency plan in case of a cold chain break
  • Attend Manager meetings and provide updates/feedbacks for the pharmacy
At DHO level (Pharmacy and Hospital):
  • Supporting the Kaposi Sarcoma Clinic
  • Ensure good pharmacy practice and safety according to MSF protocols
  • Identify training gaps or needs and ensure that the staff are properly trained
  • Ensure a proper use of the KS room stock by guiding proper and adequate consumption of drugs and utilization of medical equipment that are specific to chemotherapy and finalize a “desired stock” for the unit based on the last data generated.
  • Work in close collaboration with Hospital MAM to ensure an adequate cytotoxic waste management
  • Maintain a good rapport by liaising with DHO Pharmacy to regularly follow up on the available stock from Ministry of Healthy (MoH)
  • Support DHO pharmacy according to objectives set up at the Hospital Steering Committee
  • Work closely with DHO pharmacy to ensure essential drugs are available in the medical and TB wards
  • Support a close collaboration between medical wards and DHO pharmacy
Requirements
Education:
Pharmacy Management degree appreciated, stock management knowledge (trainings, degree) desirable
Experience
At least 1year work experience in pharmacy stock management
Languages
Mission language and local language essential
Knowledge
Essential computer literacy (word, excel and internet)
