PERSONAL ASSISTANT TO THE PRINCIPAL (PRIMARY SECTION)

Bishop Mackenzie International School – BMIS, the only International Baccalaureate (IB) World
School in Malawi located in Lilongwe, is seeking applications from suitably qualified candidates to
fill the vacant position of Personal Assistant to the Principal (Primary Section).

Job Purpose

To provide confidential and administrative support to the Primary Principal and senior teachers. Act
as an ambassador for the Primary Section and the Principal in all matters.

Main Duties and Responsibilities

  • Schedule and confirm appointments and plan the Primary Principal’s schedules;
  • Handling requests and queries on behalf of the Principal and deciding on how to deal with them;
  • Acting tactfully in the provision of information both within and outside the school;
  • Deal with emails and writing letters to parents as required by the Principal;
  • Prepare correspondences, reports and materials for publications and presentations in liaison with the Principal;
  • Set up and maintain electronic and paper filing systems for records, correspondences and
    students’ files;
  • Manage the day to day running of the Principal’s office;
  • Create and implement office systems effectively;
  • Attend to all administrative duties including telephone calls, emails and office enquiries;
  • Assist the Principal with the preparation of key school events;
  • Distribute newsletters, promotional materials and other information as required;
  • Any other duties as may be assigned from time to time.

Minimum Qualifications and Experience

  • Malawi Schools Certificate of Education or its equivalent;
  • Diploma in Secretarial Studies and or Diploma/Degree in Business Administration;
  • Computer literacy i.e. MS Office;
  • A minimum of five years’ experience working in a similar position.

  • Able to work under pressure with minimum supervision
