Vacancy: Personal Assistant

A highly organized and proactive Personal Assistant is sought to support a busy entrepreneur with diverse business interests, including two thriving bars, a reputable driving school, and a private loan business in Lilongwe. This is a fast-paced and demanding role requiring exceptional multitasking abilities, discretion, and a keen eye for detail.

Responsibilities:

Calendar Management: Efficiently manage the entrepreneur’s complex schedule, coordinating appointments, meetings, and travel arrangements across all businesses.

Communication Management: Screen and prioritize emails, phone calls, and correspondence, responding on behalf of the entrepreneur as needed.

Business Support: Assist with administrative tasks related to each business, including:

Bar Operations: Coordinating supplier orders, assisting with event planning, and managing staff schedules.

Driving School: Managing student records, scheduling driving lessons, and handling inquiries.

Loan Business: Assisting with loan application processing, maintaining client records, and managing documentation.

Travel Arrangements: Arrange and coordinate domestic and international travel, including flights, accommodation, and transportation.

Expense Management: Track and reconcile expenses, prepare reports, and manage petty cash.

Personal Errands: Handle personal errands as required, including shopping, appointments, and other ad-hoc tasks.

Confidentiality: Maintain strict confidentiality regarding all business and personal matters.

Document Management: Organize and maintain physical and electronic files, ensuring easy access and retrieval.

Meeting Preparation: Prepare meeting agendas, take minutes, and follow up on action items.

Qualifications:

Proven experience as a Personal Assistant or in a similar administrative role.

Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.

Strong communication and interpersonal skills, both written and verbal.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently and proactively, with minimal supervision.

Discretion, tact, and professionalism.

Valid driver’s license and reliable transportation.

Experience with basic bookkeeping is a plus.

Experience with staff management is a plus.
