About CAMFED:
CAMFED (the Campaign for Female Education) is internationally recognized as a leader in girls’ education, for its child protection policy and practice, and as a voice for girls’ education and women’s empowerment at the highest levels. Founded in 1993, CAMFED supports girls throughout their primary and secondary school years and supports women to transition to productive and fulfilling livelihoods and onto leadership, as role models, activists, and philanthropists. CAMFED operates in Ghana, Tanzania, Zambia, Zimbabwe, and Malawi.

CAMFED began working in Malawi in 2009, and is currently operating in all the districts, working closely with the Ministry of Education.

We seek to recruit qualified and experienced candidates for the following positions:

Job Title : People Operations Coordinator
Report to : People and Culture Manager
Hours : Full-time – 37.5hrs per week
Location : National Office, Blantyre

People and Culture Team
The People and Culture Team is on a journey of transformation to support CAMFED in the achievement of a bold ambition to 2030. Principle Accountability
Undertake administrative duties to support the People and culture Manager to manage, develop and continually improve the services provided by the local People Services Hub. To work with the People and Culture Manager to ensure all processes and systems work efficiently and support people locally. In partnership with the People and Culture Manager, build a reputation for providing excellent customer service.

Specific Accountabilities

Coordination of People operations

  • Provide administration support to the local People Operations Hub
  • Work with others across the region/global hubs as necessary
  • Support the administration involved in commissioning, contracting, and working with external partners.

Compliance and Risk Management

  • Maintain data, to support accurate reporting
  • Manage compliance and risk with regards to employee records
  • Stay abreast of People and Culture projects, events and resources in order to be able to quickly and
    appropriately answer team member enquiries.

Recruitment and onboarding

  • Support the administration around recruitment ensuring the candidate experience is a positive one.
  • Support administration around induction to ensure a seamless and positive introduction to the organisation
  • Support the administering of employment contracts and support with pay and benefits administration as
    required by People and Culture Manager

Training and Development

  • Support the administration of ongoing learning events as required by the Learning and Talent team.
  • Consolidate employee training needs and organize trainings in collaboration with People and Culture Manager.
  • Prepare staff training & management development reports as required by People and Culture manager.
  • Act as a moderator for learning events providing technical support and follow up as necessary (using platforms such as zoom)
  • Support the preparation and execution of orientation activities on new or revised people and culture policies, procedures, and systems.

Industrial Relations

  • Handle daily employees’ grievances and assist in coordination of grievance and disciplinary hearing meetings where necessary in accordance with the legislation
  • Handle any labour relations and welfare matters in collaboration with People and Culture Manager
  • Any other duties as assigned by the People and Culture Manager and National Director

Person Specification

  • Ability and confidence to communicate verbally and in writing at all levels
  • Excellent organisational, prioritising, and problem-solving skills with high attention to detail
  • Proactive, positive approach with the ability to self-manage and multi-task
  • Demonstrable experience of providing administrative support to a team
  • Highly competent in using Microsoft Office/Google tools
  • Some knowledge of or appetite for gaining understanding of People and Culture
  • Working knowledge of using systems and databases to support data analytics
  • Commitment and passion for CAMFED’s values, mission and vision.
  • Bachelor’s degree in human resources management, Business Administration, Public Administration or any
    other related degree
  • At least two years working experience in a People and Culture/Human Resources Management role
