Chemonics International Inc., a U.S.-based international development consulting firm, seeks a Operations Assistant for the USAID Next Generation Early Grade Reading Activity (NextGen) in Malawi. The $75 million activity aims to solidify and build on the contributions made to date as part of the implementation of Malawi’s National Reading Program (NRP) towards improving the delivery of high-quality early primary reading instruction in all Malawian primary schools.
Chemonics International Inc. seeks applicants for an Operations Assistant for the USAID Next Generation Early Grade Reading Activity (NextGen) in Malawi. This is a long-term position that will be based in Lilongwe, Malawi.
Principal Duties and Responsibilities
- Ensure office orderliness and professional appearance.
- Receive all visitors and direct them as necessary.
- Distribute and track utilization of all office supplies and procure supplies as necessary.
- Assist with management of project inventory and ensuring it is updated at all times.
- Arrangement, coordination and providing logistical support to stakeholder meetings and other events.
- Assist with travel, hotel accommodations, and in-country transportation for all project-related travel, including international consultants
- Assist with the management of vendor relationships including ensuring timely and accurate processing of vendor payments.
- Assist with lease management including liaising with the landlord and various maintenance teams.
- Assist with various operations related procurement in accordance with client and Chemonics procedures
- Under the guidance of the Logistics Manager, assist with fleet management.
- Undertake petty cash duties, act as the petty cash custodian/cashier for the project.
- Responsible for opening and closing of office premises.
- Perform any other duties assigned by the Operations and Logistics Manager.
Job Qualifications
- Bachelor’s Degree or Diploma in any relevant field.
- Must have 2-3 years of experience in an administrative role and the ability to complete administrative tasks.
- Excellent working capabilities with MS Excel, Word and other software packages.
- Capable of managing competing priorities and multiple deadlines
- Experience in developing and maintaining filing systems
- Previous experience with USAID is preferred.
- Good interpersonal skills, honesty, and commitment to excellence.
- Written and spoken proficiency in English
