Summary

The Grant Coordinator Officer will primarily support the Polio Sample Transport grant team to ensure award financial health, strong contracting oversight, and adherence to the project workplan. This role will also support budgeting for new business opportunities that the Malawi Team pursues. This limited term role will focus on a multi-country Polio Lab Sample Transportation award, funded by the Bill and Melinda Gates Foundation through November 2023. The Polio Lab Sample Transportation grant funds a public health emergency program in 15 outbreak or high-risk countries aiming to improve the timeliness and quality of sample transportation from health facilities to national or international laboratories, as part of accelerated efforts to eradicate polio and strengthen transport systems for any infectious diseases.

Description

Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time.

  • Serve as Award Administrator on Polio Lab Sample Transport grant. As Award Administrator, independently monitor financial compliance and prepare financial data for Polio Lab Sample Transport program team through regular financial review. Award administration includes flagging compliance issues, supporting labor levelling, and budgeting for future fiscal years
  • Track program timelines, deliverables, budget burn, and communications
  • Monitor monthly budgets for grant activities across all 15 countries, ensuring that expenses are compliant with funder requirements and are properly coded
  • Ensure all award subcontracting follows the appropriate organizational procurement and approval protocols
  • Monitor monthly progress reports from all grant subrecipients and contractors in accordance with each individual agreement
  • Maintain systems and data accuracy for grants and contracts budgeting and CRM systems
  • Support Polio Lab Sample Transport program team on administrative and project management duties as assigned. May include co-coordinating specified meetings by taking notes and following up on delegated responsibilities with both internal and external parties; and supporting creation of program materials and presentations for internal and external audiences.
  • Lead budgeting processes for new business development and ensure correct approvals are sought before submission

Education & Experience:

  • Bachelor’s degree
  • 2 years of professional experience
  • 1+ years experience managing grant finances; public sector grants a plus
  • Demonstrated familiarity with the finance reporting and budgeting standards of practiceDemonstrated familiarity with contract language and grant cost policy adherence
  • Experience within non-profit operations a plus

Other Qualifications:

  • Established cultural competency in partnering with racial, cultural and linguistically diverse groups.
  • Demonstrated understanding of challenges with working in rural, underserved and low-income context; experience living in and/or working in a low-income country a plus.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and comfortable in a fast-paced technical environment.
  • French-speaking a plus

Education & Experience:

VillageReach has no private offices, employees work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences between our USA office and our Country Offices and location of other global staff, US based staff are expected to be available for early morning meetings starting at 6am. In addition, our Regional Africa based staff and Country office staff are expected to be available for late afternoon/evening meetings up to 6pm.
