National Oil Company of Malawi

The National Oil Company of Malawi (NOCMA) whose main objective is to ensure security of fuel supply in Malawi is a wholly owned Malawi Government Company established under the Company’s Act of 1984 on the 10th of December 2010 and commenced its operations in 2012. NOCMA is responsible for managing the Country’s 60 million litres Strategic Fuel Reserves facilities situated in Blantyre, Lilongwe and Mzuzu, and smaller depots in Chilumba, Chipoka and Mchinji.

Over the past twelve (12) years, the Company has grown tremendously in its national strategic importance with its fuel importation market share growing from ten percent (10%) in 2015 to an average of sixty-five percent (65%) in 2022/2023 and this has been matched with growth in Institutional capacity and investments to enable efficiency and effectiveness in executing its mandate.

In its drive to ensure improved and sustained efficiency and effectiveness in delivery of its mandate, NOCMA is seeking to recruit qualified and experienced candidates to fill the following highly rewarding positions that have arisen within the Company at executive and managerial level.

Job Title : Office Assistant
Department : HR and Administration Department
Grade : NOC9
Reporting to : Assistant HR and Administration Manager

Purpose of the Job
To keep the ambience of the office organized and clean, provide messengerial services, and provide support with administrative tasks.

Key Roles and Responsibilities

a) Operate office equipment such as photocopiers, shredders, and printers
b) Monitor the level of, and arrange for timely replenishment of office supplies
c) Manage office records and files
d) Set up rooms and equipment for office meetings
e) Collect, and deliver mail, parcels, messages, and documents in a timely manner
f) Perform receptionist duties when called upon to do so
g) Binding and maintaining official documents
h) Cleaning of offices, furniture, sanitary facilities, and washing/cleaning utensils.
i) Convey files, documents, and other items from office to office
j) Prepare office refreshments

Required Competences, Attributes and Skills

The required candidate should have the following competences, skills, and attributes

• Understanding of office management procedures
• Excellent organizational and time management skills
• Working knowledge of office equipment
• Excellent verbal communication skills
• Ability to follow instructions
• Good communication skills
• Ability to work long hours
• Attention-to-detail

Qualifications And Experience
• Malawi School Certificate of Education (MSCE).
• A minimum of 1-year proven experience as an office assistant in `n organisation of comparable size and complexity.
