Human Resource Society of Malawi (HRSM)

The Human Resource Society of Malawi (HRSM) is a professional body for trained Human Resource Professionals in Malawi. The HRSM was duly registered by the Government of Malawi on 8th August 2018 under the Trustees Incorporation Act (CAP 5:03). The Society’s offices are based in Lilongwe the capital city of Malawi.

Opportunities have arisen in one of our partners, which is one of the tobacco growing and research organizations, for highly motivated professionals with requisite academic qualifications, technical expertise, and experience to fill various existing vacant positions as follows;

Office Assistant

Location : Lilongwe
Reports to : Assistant Administration and Human Resource Officer

Purpose of the position

To manage general office duties to ensure that office processes and procedures run smoothly for efficient service delivery

Duties and Responsibilities

The incumbent will among other duties perform the following duties and responsibilities: –

  • Sort and distribute files, materials and mail within offices as required.
  • Collect and deliver various packages and mail from and to specified locations as per delivery instructions.
  • Carefully plan travel routes to ensure that packages are delivered to recipients in a timely manner.
  • Maintain an accurate record of all packages delivered to recipients.
  • Keep inventory of office stationery and supplies and order new materials as needed.
  • Collect and distribute office stationery and supplies.
  • Monitor and control usage of postal stamps.
  • Perform clerical support as requested including photocopying, collating, stapling, scanning and binding documents etc.
  • Assist with filing of documents.
  • Oversee all aspects of office cleaning in Senior Management offices which include mopping floors, dusting furniture, cleaning toilets, kitchen, and windows.
  • Prepare and serve refreshments.
  • Open and close offices daily and ensure equipment is switched off, where applicable, at the end of the work day.
  • Perform other duties as assigned from time to time.

Qualifications and experience

  • MSCE.
  • Three years relevant experience
