EGPAF has worked in Malawi since 2001. Today, EGPAF Malawi implements evidence-based HIV prevention, care and treatment interventions in 177 health facilities in nine districts through EGPAF’s U.S. President’s Emergency Plan for AIDS Relief/U.S. Canters for Disease Control and Prevention (PEPFAR/CDC) – funded Achieving HIV Epidemic Control through Scaling Up Quality Testing, Care and Treatment in Malawi.

 

EGPAF seeks to fill the following open positions:

Title                           :           Logistics Officer

Reports to                :           Asset, Fleet and Inventory Manager

How will you fight for an AIDS-free generation?

The Logistics Officer is responsible for managing the foundation fleet and all associated logistics support services. The logistics Officer is also responsible for developing strategies and procedures to minimize costs and increase efficiency. Additionally, they must ensure compliance with all relevant transport regulations.

No two days are alike at EGPAF, but what can you expect in this role?

Staff Management

  • Management of drivers to ensure that they keep time, the vehicles clean, and fuelling in time for a trip and that all vehicles are roadworthy

Transport Management

  •  Coordinates transportation of supplies through established transportation processes; arranges transportation of supplies coordinate shipment and receipt of supplies using established guidelines where possible.
  • Determine the best delivery method based on the supply chain, cargo type
  • Manage transport fleet and locally hired vehicles where applicable
  • Co-ordinate with program operation staff to ensure that the transport requirements are being met
  • Manage all transport requirements including Vehicle logbook (VLB) fuel consumptions, maintenance, and ensuring that all vehicles are fully equipped with tool kits, First Aid kits, and other relevant equipment
  • Ensure vehicles equipment is maintained as per Fleet standard operating procedures
  • Manage and coordinate all drivers and make regular inspections of vehicles and vehicle logbooks
  • Liaise with garages with regard to the repair and maintenance of vehicles based on the reports submitted by drivers and recommend the appropriate garage.
  • Monitor and evaluate drivers’ performance, fuel consumption, vehicle maintenance, and repairs.
  • Carry out daily, weekly and monthly checks on all tools and spares in all vehicles as well as weekly mechanical checks in cooperation with the mechanic or identified garage
  • Provide monthly evaluation reports on all transport issues to the Fleet, Asset and Inventory Manager.
  • Manage fuel system, including the weekly and monthly transport analysis of the cost and efficiency as per standard Vehicle Logbook and Fleet summary formats
  •  Make sure that there is an efficient system of booking (daily, weekly, late, individual vehicle) as per the vehicle bookings and allocation
  •    Make sure that all safety and security procedures and measures according to the manual are exercised and those which are specifically required for within Malawi locations
  •  Coordinates the maintenance of vehicles by maintaining a table of tracking databases to ensure vehicles are maintained as scheduled

Asset Management

  • Ensure all assets are registered on the Fixed Asset Register
  • Maintain and extract asset register for the office by ensuring that all movement of assets is recorded and tracked
  • Ensure all assets which are damaged are reported to the Fleet, Asset, and Inventory Manager for repair or request assessment for disposal action
  • Ensure all asset certificates are filed in an orderly manner
  • Ensure an asset repair certificate is prepared and accompanies any asset that is sent from the field to the Head office for repair

Fuel Management

  • Manage and account for all fuel stock tracking (issues and receipts)

To be successful, you will need to have:

  • Bachelor’s degree in Business Management, logistics, or any related field.
  • 5+ years experience in a logistics management role.
  • Proven track record of successful project management.
  • Strong leadership and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Very enthusiastic and keen to work hard to achieve the objectives of the program.
  • Skills in computer Packages – Excel, Word, PowerPoint, Access.
  • Motor vehicle Experience and training in the mechanical field will be an added advantage.
