Program Overview:

CHAI’s Sexual, Reproductive Maternal and Neonatal Health program aims to reduce unintended pregnancies and related impact of maternal mortality and morbidity by increasing access to essential reproductive health products and services in partnership with governments by pursuing global and country-focused market-shaping opportunities and in-country engagement around guidelines, registration, tendering, procurement and service delivery. In addition, CHAI aims to strengthen government health systems and build the capabilities of ministries of health to deliver robust, integrated reproductive health programs including to adolescent girls and young women.

Underlying CHAI’s approach is the development of effective, government-led management systems
that serve as the backbone towards facilitating program implementation, support transition and enable governments to sustain progress, while also providing for the continued growth and evolution of a country’s SRMNH program.

Position Overview:

CHAI Malawi seeks a Program Assistant,who will be responsible for providing administrative support to the CHAI SRMNH team. The Program Assistant will work with the CHAI SRMNH Team and with government counterparts to execute activities in the team’s workplan, with a focus on meeting planning, logistics, budgeting, and liquidations.

The Independent contractor will be based in Lilongwe, Malawi with up to 50-75% travel in-country, and will report to the Program Manager, SRMNH.

Responsibilities:

Based within the CHAI SRMNH cluster, the Program Assistant will provide administrative support to the CHAI SRMNH team in the execution of the team’s workplan.

Responsibilities include but not limited to:

  • Work closely with the CHAI SRMNH team and MoH-RHD counterparts to plan, schedule,
    and organize activities such as meetings, workshops, trainings, mentorships and supportive
    supervision visits.
  • Lead preparation of activity budgets and ensure timely liquidation of all activities once completed, in line with CHAI and donor best practices and policies for sound financial management
  • Lead activity logistics in collaboration with the CHAI Finance and Operations teams, including
    disbursing allowances to meeting participants and ensuring that services such as venue hire,
    conferencing, printing, etc. are available for activities as relevant
  • Support drafting of meeting reports and other required documentation for donor reporting as
    needed
  • Maintain an effective and cordial relationship with government counterparts
  • Provide regular progress updates, including identifying and proactively flagging any emerging
    challenges in activity implementation for joint solution-finding
  • Perform any other relevant duties as assigned by the Program Manager, SRMNH

Qualifications:

Education

  • Minimum of a Bachelor’s degree with at least 2-3 years of work experience in Public Health, Social Sciences, Accounting, or other relevant fields.

Experience

  • Experience working with government ministries and partners within the SRMNH sector
  • Knowledge of Malawi health delivery system. District level health program implementation
    experience is an advantage
  • Experience in activity budgeting, implementation, and liquidation according to donor policies for sound financial management
  • Experience in drafting meeting reports and other required donor documentation
  • Proven organizational, problem-solving, and task management skills, including excellent attention to detail
  • Strong diplomatic and interpersonal skills, including a demonstrated track record of building
    effective and trusted relationships with government stakeholders
  • Demonstrated ability to deliver in high-pressure situations, set priorities, and adapt to rapidly
    changing environments
  • Self-motivated and able to work with a high degree of independence
  • Team player with excellent verbal and written communication and professionalism
  • Familiarity with Microsoft Excel and Word
  • Willingness to spend significant time in the field.
