Job Title:                         Human Resources Officer

Reports To:                    Operations Manager

Responsible For:             Human Resources Policy Administration

Level/Grade:                 C3

Purpose:

Supporting the development and implementation of HR initiatives and systems, Providing counselling on policies and procedures and involvement in recruitment by preparing job descriptions, posting ads and managing the hiring process.

Key Responsibilities:

  • Provide advice on policies and procedures
  • Be actively involved in recruitment by preparing job descriptions, posting ads and managing the hiring process
  • Create and implement effective onboarding plans
  • Assist in performance management processes
  • Support the management of disciplinary and grievance issues
  • Maintain employee records (attendance, data etc.) according to policy and legal requirements
  • Maintain the HRIS system for the organisation, Data integrity, enters, imports, exports and audits data to keep system up to date
  • Review employment and working conditions to ensure legal compliance
  • Assist in training needs analysis and coordination of training activities and training for selected programmes. Tracking employee completion of required training for compliance purposes.
  • Partner with the Global HR Director to assisting with employee relations issues.
  • Conduct staff debriefs regularly in line with requirements
  • Provision of information on employee records for compliance purposes.
  • Additional duties as needed

 

Skills and Competencies required

  • Proven experience as HR officer, administrator or other HR position.
  • Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
  • Understanding of labour laws and disciplinary procedures
  • Proficient in MS Office; knowledge of HRMS is a plus
  • Excellent communication and interpersonal skills
  • Problem-solving and decision-making capabilities

 

Qualifications and Experience:

  • A Degree in Human Resources or Equivalent
  • A professional Qualification and membership to an HR Professional Institution.

 

Mental Demands/Judgement and Initiative:

  • Pressure of work is mainly in the last 2 weeks of the months or where there is high recruitment activities.
  • Analytical and report writing
  • Mainly an office position and indoors
