Job Title: Human Resource and Administration Officer

Reports to: Chief Finance Officer (CFO)

Department: Finance and Administration

Location: Lilongwe

 

Job Purpose:

HR professional to oversee human resource management and administration functions in our organization. The successful candidate will provide policy guidance, manage employee relations, and ensure compliance with labor laws and company policies. This role requires strong organizational, communication, and interpersonal skills.

 

Key Roles and Responsibilities:

 

Human Resource Management:

– Oversee the implementation and administration of HR policies and procedures.

– Manage employee relations and resolve conflicts in a fair and consistent manner.

– Support recruitment processes, including job postings, interviewing, and onboarding.

– Administer employee benefits programs and assist with payroll activities.

– Ensure compliance with labor laws and company policies.

– Drive employee engagement and retention initiatives.

– Prepare and maintain HR reports and records.

– Assist in the development and implementation of employee training programs.

 

Administration:

– Arrange for requisitioning and ordering of office items, furniture, and equipment.

– Ensure speedy provision of information and general services for all departments and divisions.

– Set out procedures for mail delivery, reception, distribution, storage, and confidentiality.

– Allocate vehicles to drivers and departments.

– Ensure regular maintenance and servicing of company vehicles.

– Identify items/equipment for disposal.

– Provide information and request services to the Chief Finance Officer.

Additional Responsibilities:

– Monitor performance of outsourced services (Security, cleaning, landscaping, etc.).

– Facilitate logistics for staff welfare, official trips, workshops, and conferences.

– Conduct performance appraisal of Assistant Administration Officer.

– Develop and maintain HR record systems and databases.

– Mentor and supervise sectional staff.

– Handle disciplinary matters, interpret staff terms and conditions, and manage leave days.

 

Required Qualifications and Experience:

– At least Diploma in Human Resources, Business Administration, or a related field.

– Minimum 1 year of experience in HR administration or management.

– Proven knowledge of HR policies, procedures, and employment laws.

– Strong organizational and multitasking skills.

– Excellent interpersonal and communication skills.

– Ability to handle sensitive and confidential information with discretion.

– Proficiency with HR software and Microsoft Office Suite.
