Job Purpose/Description

Under the leadership of the Head of Finance and Senior Finance Manager, the Grant\u00a0Finance Manager will be responsible for the following:

  • The day-to-day maintenance and smooth running of an accurate and up-to-date accounting system;
  • Providing management information for planning, control and decision-making through the provision of timely and accurate donor financial reports. Where corrections of spend are required upon review of the financial reports, he/she can timely initiate and lead the process.
  • Be responsible for the leadership, motivation and supervision of the Finance Officers founder him/her.
  • Be particularly responsible for assisting the Head of Finance to implement effective risk management strategies
  • Ensure accurate and timely entry of data into the Financial force and maintaining complete documentation of all financial transactions and audit trails
  • Working in conjunction with Head of Finance to put in place systems which ensures that all major risks are identified, analyzed, mitigated and monitored on a monthly, quarterly and annual basis.
  • Ensure staff members comply fully with all internal control measures and liaise with Auditors for the conduct of annual Audit and further ensure that all audit recommendations are timely corried out.
  • Ensure the Finance Officers under his/her supervision consistently meet all the daily, weekly and monthly deliverables
  • Check all Payment Requisition Forms for accuracy, complete documentation and correct donor coding and also supervise the payment process to ensure 100% of approved Electronic Payment Requisitions Forms (ePRFs) are paid within the week and vendors/suppliers or staff notified appropriately to acknowledge receipts.
  • Supervise the daily bank checks to ensure that accurate journals are consistent with approved ePRFs/Expenditure Authorisation plans and posted daily.
  • Supervise the monitoring of stakeholders for advance retirements/acquittals and\u00a0following up on staff with overdue advances.
  • Support and coordinate the organization of weekly Finance team meetings for update on financial issues and facilitate in-house training of Finance Team members under his/her supervision.
  • Supervise and manage the performance of the Finance Officers for effective discharge of their daily, weekly, monthly and quarterly finance deliverables.
  • Support the finance team in monitoring the districts for prompt advance retirements.
  • Help in organizing relevant financial training for stakeholders on quarterly basis or as needed.
  • Maintain cordial relationships with bankers, Malawi Revenue Authority, and other statutory partners to ensure that all issues are timely addressed.
  • Ensure accurate filing of all financial documents (both manual and electronic) for easy referencing and retrieval
  • Take timely and prudent measures on all tasks assigned to him/her by the line supervisor or senior management.

Qualifications and Requirements

To be considered for this role, one should meet the following criteria:

  • Degree in Accounting/Finance, Profession qualification (CA, ACCA,CIMA, CPA) and full member of the Malawi Accountants Board/ Institute of Chartered Accountants of Malawi (ICAM).
  • Minimum of 7 years working experience in same or similar position with at least 2 years of experience in a middle management position.
  • Self-reliant, good problem solver, results oriented.
  • Energetic, flexible, collaborative, responsive and proactive; a team leader who can positively and productively impact both strategic and tactical finance and operations initiatives.
  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management.
  • A highly motivated professional with the highest level of integrity
  • Proficiency in MS office suite (Word, Excel, PowerPoint) including advanced excel skills a must
