TAWINA is a women led organization that was established in 2009 to support the empowerment, education, training and economic participation of rural women and girls in Malawi. TAWINA targets
socially vulnerable girls who are at risk of becoming a child bride or otherwise being excluded from full participation in Malawian Society. TAWINA has been delivering innovative and customized solutions that improve the health, socio-economic and legal outcomes for female victims of sexual and gender-based violence such as child, early and forced marriage (CEFM), domestic violence, and rape. The primary focus of TAWINA is rural adolescent girls and women who are the guardians and or parents of rural adolescent girls aged 9 to 17 years. TAWINA social enterprise portfolio includes pig value chain development,
soybean production and marketing, and organic vegetable gardening.
POSITION SUMMARY
The Finance Officer for TAWINA will oversee all financial activities to ensure compliance with donor and organizational policies. This role involves managing project budgets and ensuring expenditure
aligns with stipulated guidelines. Key responsibilities include preparing financial statements and reporting following GAAP.
The Finance Officer will also manage cash flow, establish financial controls, handle tax filings and prepare for audits.
Additionally, the Finance Officer will provide documentation for grants, mentor the finance team, and advise management. They will also be responsible for overseeing financial systems and seeking opportunities for process improvements.
PRINCIPAL RESPONSIBILITIES
- Maintenance of computerized accounting system (Xero or internet-based experience preferred)
- Daily maintenance and recording of bank transactions, bank reconciliations.
- Month end reports for different divisions and consolidation.
- Prepare and monitor project budgets, ensuring expenditures align with approved budgets.
- Generate accurate financial reports, including cash books, bank reconciliations, and budget compliance reports, for internal and donor use.
- Ensure timely submission of financial reports to donors and stakeholders.
- Verify and process invoices, bills, and staff reimbursements.
- Ensure all payments comply with organizational and donor guidelines.
- Maintain financial records in compliance with local tax laws and donor requirements.
- Manage restricted and unrestricted funds, ensuring that funds are allocated and used in compliance with donor agreements and organizational policies.
- Manage petty cash and ensure accurate recording of daily transactions.
- Reconcile bank statements and maintain updated cash and bank books.
- Oversee procurement processes, ensuring adherence to organizational policies.
- Manage inventory, office supplies, and equipment maintenance.
- Assist in recruitment processes, including preparing job descriptions and coordinating interviews.
- Maintain employee records, timesheets, and leave balances.
- Ensure smooth day-to-day operations, including travel arrangements, vehicle maintenance, and office security.
- Maintain organized filing systems for administrative and financial documents.
- Collaborate with project teams to ensure financial and administrative support for program activities.
- Monitor project expenditures and provide guidance on budget utilization.
- Train staff and partners on financial procedures and compliance requirements.
Qualifications, Skills and Experience
- Bachelor’s degree in Finance, Accounting, Business Administration, or a minimum of 3 years of experience in finance and administration, preferably in NGOs or women empowerment programs.
- Proficiency in accounting software e.g. Xero, QuickBooks and Microsoft Office Suite.
- Strong knowledge of financial management, budgeting, and donor compliance.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
