Background:

HeR Liberty is a Women-led organisation that envisions Malawi’s future growth and development through investing in the health, education and capabilities of young people. HeR Liberty supports young people with age appropriate educational information especially Sexually Reproductive Health information, training and mentorship to ensure they reach their fullest potential. The organization has reached over 5000 young people through our peer to peer model.

Her Liberty believes in the power of young people to make informed decisions when they have been educated and trained with all the relevant information and advocacy skills especially girls and young women. Her Liberty was originally established in Namibia in the year of 2012, by three young women activists striving for a community of empowered women and girls living with respect, self-worth and dignity. HeR Liberty works with young people focusing on empowerment and peer mentorship programs. Currently HeR Liberty is registered with National Youth Council, Zomba Civil Society Organisation and the Malawi Government under the Trustees Incorporation Act.

 

 

HeR Liberty Malawi was established against the backdrop of: Young people who drop out of school due to financial challenges, child marriage and early & unintended pregnancy, lack of guidance, counselling and mentorship services for young people, lack of access to youth friendly information including comprehensive sexuality education. HeR Liberty equips and supports youth led organisations, youth groups and young individuals especially girls and young women to be change agents in their respective communities.

Objective:

The Finance Managers responsibility is to process all accounting transactions and to provide financial support to the HeR Liberty finance unit. The Finance Manager will assist in managing transactions related to the disbursement and liquidation of Project Staff Advances and Field Program Advances.
The Finance manager works closely with all the members of the project team under the supervision.

Key Responsibilities

  • Review financial/payment documents such as advance requests, invoices, expense reports and purchase orders to ensure completeness, accuracy, reasonability and validity of financial data.
  • Enter program expenditure transactions in the financial system and ensure the accounting transactions are coded correctly.
  • Prepare Tax returns to Malawi Revenue Authority and issue certificates to all suppliers deducting withholding tax.
  • Prepare all financial reports which include bi-weekly field voucher reports for easy review before submission to Donors.
  • Scan and upload transaction supporting documentation in the financial system.
  • Maintain, monitor and disburse funds from the project bank account in accordance with project financial policies and procedures.
  • Ensure that all accounting documents are filed on a timely basis and proper accounting records are maintained and are compatible with standard accounting procedures
  • Manage and disburse petty cash, maintaining account transaction records and supporting documentation.
  • FAM will work on budget development, cash flow forecasting and expenditure tracking.
  • Process payment of Utilities, Stat Insurance, PAYE, withholding taxes and other payments on a timely basis.
  • Prepare payments through online platform and cheques.
  • As necessary, assist with financial audit. Maintain accurate and up-to-date financial, and other records as required by corporate management and/or Malawi law.
  • Prepare quarterly VAT refund claims and supporting documentation for reporting to USAID and onward processing with Malawi Revenue Authority.
  • Perform any other financial tasks assigned by the Finance Manager which are consistent with his/her qualifications, this Scope of Work and the general requirements of the project.

Desired Skills and Experience:

  • 2 to 5 years of progressively relevant experience in providing financial management support, financial auditing and reporting in a local or international NGO
  • Previous USAID or Other Donor funded programs experience and demonstrated knowledge of USAID rules and regulations is highly preferred.
  • A University degree in Accounting, Financial Management, Business Administration or minimum accounting level 2 professional accreditation is required.
  • Excellent verbal and written communication and strong interpersonal skills is a plus.
  • Demonstrated sound judgement, statistical knowledge, analytical mind attention to detail and integrity are required:
  • High level knowledge of internet-based accounting packages: Microsoft Office (particularly Word and Excel). Experience of maintaining spreadsheet

 

 

Duration

The successful candidate will be offered one-year contract with a possibility of renewal depending on availability of funding and performance.
