Partners In Hope

Partners in Hope (PIH) was established in 2004 by Dr. Perry Jansen, an American Family Physician,
and a group of committed Malawian professionals to address the devastating HIV and AIDS
epidemic in Malawi. PIH Medical Center formally opened in November 2005, with Dalitso Private
Clinic, Pharmacy, Laboratory and Tiyanjane Counselling Center. PIH’s strategy arose from close
engagement with the Ministry of Health early in the process of developing and implementing
successful scale up of antiretroviral therapy (ART). Our programs are in three main areas i.e.
Health Service Delivery, Medical Education and Research, and Capacity Building. Our comparative
advantage among others include the cutting edge diagnostic work, local ownership of the vision
and the holistically client centred approach which has set us apart from other service providers in
the health sector. In addition to operating a general clinic, inpatient ward and HIV/AIDS clinic, the
program unit provides support to Ministry of Health and CHAM health facilities in nine districts
from Chitipa to Nsanje. Teams are working to meet the 95-95-95 targets for HIV testing, retention
in care and viral load suppression through training, mentorship, supervision and health systems
strengthening. Partners in Hope – is seeking to recruit highly motivated individual for the below
position:

Finance Assistant – (1 Position Lilongwe)

Overview

The Finance Assistant provides direct assistance to the grants Finance Team to help ensure the
highest levels of detail and accuracy in all financial transactions.

Responsibilities:

1) Data Entry and storage

a. Ensure complete and accurate data entry

  • Forms and vouchers need to be filled out for every expense, with follow-up to ensure correct documentation is provided for every expense (invoices, receipts and any other supporting documents)
  • Keep paper records of all transactions and updated file folders on all transactions. Verify completeness monthly.
  • Make sure all expenses have been properly liquidated with complete and correct supporting documentation
  • Support electronic record-keeping.

2) Budgeting monitoring

a. Ensure that activities are spent within the budgets at all times.

  • Ensure all program activity and travel budgets are accurate and in compliance with finance and program policy
  • Conduct after activity and travel follow up budget vs actual reports to ensure budget compliance.
  • Ensure that all key documents are attached to Payment Requests and Vouchers

3) Compliance

  • Follow up on check payments which are due for Liquidation and make sure all correct documentation is provided for every expense (invoices, receipts, and any other supporting documents as required).
  • Review documentation for liquidations prior to submission to donors.
  • Provide the external teams with the necessary funds, budgets and check list indicating what documents are required from the training to support the expenses incurred.
  • Ensure that training and meeting budgets are completed and presented in a timely manner for each program.
  • Follow up with the team after the program is completed to ensure all expenses are documented and all required supporting documents are provided.

Skills And Qualifications

  • Excellent mathematical skills; understanding of data privacy standards
  • Excellent analytical ability
  • Interpersonal skills, and a sharp understanding of industry technology
  • Diploma in Accounting, those with Degree will be an added advantage
  • Knowledge of MS Excel and accounting software.
  • Strong knowledge of bookkeeping
  • At least 2 years work experience.
