JOB OPPORTUNITY

Partners in Hope (PIH) is a Malawian, Christ-centered, Non-Governmental Organization (NGO) founded in 2001 on a robust commitment to support the National HIV and AIDS Response in Malawi. PIH has a Medical Centre that operates a general clinic (Dalitso); inpatient ward (Thandizo); an HIV and AIDS clinic (Moyo); and providing support to Ministry of Health, CHAM and Private health facilities in Nine districts. PIH was awarded a Cooperative Agreement No: 72061221CA00012 “TB Local Organizations Network 1 (TB LON) Activity” by the United States of America through USAID. The primary goal of TB Local Organization Network Project-1 is to support TB prevention, care, and treatment services in Malawi that reach all – women (pregnant and non-pregnant), men, youth, children of all ages, the elderly and key populations. In this TB LON-1 project PIH will cover a total of 39 health facilities and 6 prisons. Under the TB LON, PIH is seeking to recruit highly motivated individual in finance position to be deployed in
Lilongwe District:

1. FINANCE ASSISTANT – 1 POSITION – LILONGWE

Job Overview:

The Finance Assistant plays a crucial role in managing financial data for the TB LON Grant. Working closely with the Finance Team, this position ensures timely mobilization of funds, submission of liquidations with complete documentation, and accurate data entry into financial databases.

Responsibilities:

1. Data Entry
o Ensure accurate and complete data entry for the TB LON Grant in Quickbooks daily.
o Fill out forms and vouchers for every expense, ensuring proper documentation (invoices,
receipts, etc.) is provided.
o Track data entry according to class codes in Quickbooks.
o Maintain paper records and updated file folders for all transactions, verifying
completeness monthly.
o Ensure all expenses are liquidated properly and accurately recorded in Quickbooks with all necessary documentation.
o Advise the Finance Manager on potential risks of over- or underspending.
o Complete monthly bank reconciliations, obtaining approval from the Finance Manager.
2. Staff Management
o Collaborate closely with the Finance Team to assist with program meetings and activities, ensuring all supporting documentation is collected post-activity.
3. Budgeting and Reporting
o Ensure accuracy and compliance of all program activity and travel budgets with finance and program policies.
o Conduct post-activity and travel budget vs. actual reports to monitor compliance.
o Ensure all key documents are attached to Payment Requests and Vouchers.
o Oversee the submission of liquidations, ensuring all supporting documentation is
included with required signatures.
o Organize and manage paperwork systematically.
o Support annual audits.
o Collect activity reports from the Programs Team.
o Assist with additional duties related to all grants as needed.

4. Skills and Qualifications
o Excellent mathematical skills; understanding of data privacy standards
o Excellent analytical ability Interpersonal skills, and a sharp understanding of industry technology
o Diploma in Accounting, those with Degree will be an added advantage
o Knowledge of MS Excel and accounting software.
o Strong knowledge of bookkeeping
o At least 2 years work experience.
