VACANCY – FINANCE AND ADMINISTRATIVE OFFICER

Applications are invited from suitably qualified persons to fill the post of Finance and Administrative Officer (FAO) of Area 47 Eagles Cathedral Assemblies of God Church. Under the Church Secretary and Church Treasurer and in consultation with the Board of Administration, the FAO will manage finance and administrative services, including budgeting, accounting, reporting, human resources, church facilities, and building projects.

The Finance and Administrative Officer will execute duties in strict compliance with the Church’s policies and guidelines. This individual will ensure the effective management of Church resources and operational activities, maintaining adherence to procedures and promoting the efficient use of resources.

Specifically, the FAO’s duties and responsibilities shall be as follows among others:

A. FINANCE

1. Prepare the Church’s administrative budget based on assumptions, targets, and schedules set by the Treasury.
2. Monitor expenditure in accordance with the Church’s internal control rules and procedures.
3. Report periodically on the status of budget implementation and propose possible revisions.
4. Provide regular financial reports.
5. Establish procedures and controls to improve efficiency, identify cost savings, and promote the efficient use of Church resources.
6. Advise the Board of Administration on methods to improve the control environment in the Field Office.
7. Capturing and updating of the financial system.

8. Timely preparation and verification of reports, statements, and schedules for auditing.
9. Execute banking functions, including depositing and counting money as required.

10. Maintain meticulous records of tithes and donations.
11. Prepare payment vouchers, including pay slips, departmental requests, and administrative payments, obtaining necessary signatures.
12. Collaborate with the church treasurer to uphold an effective financial monitoring system.
13. Compile supporting documentation and accurately record transactions in the accounting system.
14. Prepare monthly bank reconciliations to ensure accuracy and transparency in financial records.
15. Manage petty cash and process minor expense claims.

B. HUMAN RESOURCES MANAGEMENT

1. Manage church staff and other workers.
2. Organize, supervise, and monitor the activities of administrative staff and ensure appropriate training for them to obtain quality services.
3. Manage staff benefits in accordance with the Human Resources Policy and instructions in force.
4. Update and manage personal files of all staff members.
5. Monitor and manage staff loans and advances, maintaining detailed records for tracking purposes.
6. Submit reports on personnel management.

C. GENERAL ADMINISTRATION

1. Supervise procurement of goods and services in keeping with the Church’s rules and procedures.
2. Ascertain sound inventory keeping for church supplies, property, and equipment.

3. Manage inventory and coordinate fleet and equipment maintenance activities.

4. Oversee the maintenance of all utilities, including electricity, water, telephone, and rentals, ensuring timely payments.
5. Implement and maintain an organized filing system for easy retrieval and reference.

6. Ensure regular monitoring and reporting of finance and administrative activities. 7. Ensure that a proper control mechanism and segregation of duties are in place and that Church procedures are fully implemented.

8. Undertake any other official duties that may be assigned from time to time.

D. QUALIFICATIONS AND EXPERIENCE

1. At least a degree in Accountancy, Finance, or Administration. Those studying towards ACCA or CIMA will have an added advantage.
2. Minimum of 5 years of relevant experience.
3. Capacity to work effectively in a team.
4. Ability to fluently communicate orally and in writing in English.
5. Competency in the use of Microsoft Office applications such as Word, Excel, and PowerPoint;
6. Knowledge of the SAGE accounting package would be highly recommended.

7. Must be a strong Christian and a member of Malawi Assemblies of God.
