FOUNT FOR NATIONS VACANCIES

Fount for Nations (FFN) is a registered Malawian non-governmental organization founded in 2015 with the sole mission of creating equal learning opportunities for children with disabilities in Malawi.

FFN currently focuses on early developmental assessments and rehabilitation services, Family Support Programs (FSP), and Policy change and Advocacy.

These programs are crafted to address the multifaceted needs of children with disabilities and their families. FFN’s early identification program (EIP) understands the critical importance of early intervention and offers comprehensive developmental assessments to identify potential challenges through routine growth monitoring.

FFN’s Family Support Program complements these efforts by strengthening the families’ vital role in nurturing and advocating for their children. Through innovative family support programs, FFN equips parents and caregivers with the knowledge, resources, and emotional support needed to navigate the challenges of raising a child with disabilities.

Our policy and advocacy work are then rooted in the belief that true progress requires more than individual efforts and demands systemic change. FFN has been committed to driving policy reform and advocating for the rights of children with disabilities at local, national, and international levels through the Pamodzi Initiative for Inclusive Education in South East Africa (PIESEA).

To ensure quality delivery of the organization’s programs, FFN seeks to recruit highly motivated and well-experienced persons to fill the following positions:

 

Job Title: Finance and Administrative Assistant

Duration: June 2024 – December 2024 (With the possibility of renewal dependent on Funding and Job Performance).

 

Position Overview:

Reporting to the Finance Administrator, the Finance and Administrative Assistant will support the Finance Administrator in all Finance and Administrative Functions related to Fount For Nations operations in line with Fount For Nations policies and procedures. The position is also responsible for records management in support of all financial transactions.

 

Key Responsibilities:

  • Compile and consolidate accurate organizational and project budgets on time
  • Monitor expenditure and ensure alignment with budget
  • Prepare monthly, quarterly and annual financial statements
  • Ensure adequate preparation for audits
  • Verifying to ensure that there is sufficient supporting documentation to all financial transactions enough to provide a clear audit trail
  • Banking receipts are kept intact and promptly in line with organizational policies and procedures
  • Making sure that the cashbook is accurate and up to date at all times
  • Undertaking organized filing and safe custody of finance documents
  • Safeguarding cash and other valuable assets for projects
  • Supporting Finance Administrator in carrying out physical spot-checks on fixed assets
  • Supporting Finance Administrator on processing staff advance retirements. This includes checking the accuracy and completeness of supporting documentation.
  • Supporting Finance Administrator on reconciliation processes for creditors and other payables. This includes ensuring that bills and accounts payables are paid on time.
  • Checking that payment vouchers or requests are duly authorized by appropriate budget holders and to the right levels of delegation of authority.
  • Ensuring that relevant taxes have been duly deducted from all payments in line with tax regulations
  • Bringing to the attention of the Finance Administrator any issues relating to transaction processes on a timely basis for timely action
  • Making payments of remittance in compliance with statutory requirements (taxation and pension regulations)
  • Supporting Finance Administrator in arranging documents required by auditors during audit
  • Operate company’s vehicle to conduct administrative errands as required

 

Qualifications:

  • A minimum of a Diploma in Finance/ Accounting or its equivalent from an accredited Institution
  • A minimum of 3 years’ experience in an NGO set-up
  • Knowledge of Financial management and best practices for non-profits and practices
  • Highly numerate with strong attention to detail
  • In-depth experience of financial transactions processing
  • Excellent skills in examining supporting documentation to financial transactions. This includes good knowledge of key procurement stages and related documentation
  • Ability to deliver tasks according to deadlines
  • Knowledge in preparation of budgets and financial reports for NGO set-up
  • Excellent experience in using QuickBooks Online Accounting Package
  • Knowledge of project management will be an advantage
  • Must be a holder of Class B driving license.
