Finance and Administration Officer

Post Summary

The Finance and Administration Officer contributes his/her energy, passion, and skills primarily to supporting Seed’s Malawi country program, in a fast-paced office during rapid growth. The position is based in Lilongwe, Malawi.

The Finance and Administration Officer will be engaged on a full-time basis reporting to the Finance and Administration Manager (FAM) and working closely with all Malawi team members.

Duties and Responsibilities

  • Keeping records and documenting financial processes/transactions per Seed’s bookkeeping guidelines.
  • Assist in requisitioning and processing vendor payments in compliance with procurement procedures and policies.
  • Support timely preparation of monthly advance funds request in liaison with FAM
  • Support development of annually country budget and monthly budget during implementation
  • Support tracking of Partnership budgets and Partnership logistics
  • Support timely preparation of monthly financial reports in liaison with FAM.
  • Implement the accounting system by posting transactions accordingly in the ERP – Tracking requisitions, issuing invoices, and handling payments per approved workflows.
  • Assist in the processing of requisitions, reviewing account payables/receivables, and supporting purchases following documented procedures.
  • Assist in collaborating with the program department to reconcile travel advances monthly.
  • Support the FAM as needed with travel bookings
  • Reconciliation of key balance sheet accounts Cash account, Withholding tax, prepaid fuel cards, employee travel advances, other prepayments, other receivables and other taxes
  • Handle petty cash and ensure all petty cash transactions are paid following documented petty cash management procedures
  • Monitor office supplies, inventory and supporting all F&A office related requests
  • Assisting on other monthly and periodic close tasks as assigned by the supervisor including review/preparation of operating budgets, financial statements, and reports.
  • Support audit exercises (internal & external).
  • Support the FAM in training new staff on finance and administration policies and procedure
  • Serve as a resource person for staff questions on Seed’s ERP
  • Support the FAM with the administration and compliance of Seed’s bank accounts and registrations
  • Cover the finance/administration department team members during times of leave and/or out-of-office periods.
  • Perform other related duties as required/assigned.

Qualifications

  • A Bachelor’s Degree in Accounting or Finance Discipline or related field.
  • At least 2 year’s progressive experience with accounts payable, accounts receivable, and double-entry bookkeeping in a busy NGO setting
  • Excellent knowledge of accounting policies in a typical NGO setting
  • Experience in accrual accounting preferred
  • Excellent knowledge of MS Excel and ERP accounting systems such as 365 Business Central or similar.
  • Good organizational skills.
  • Strong analytical and critical thinking skills.
  • Excellent collaboration and communication skills.
  • Detail and result oriented.
  • High integrity, excellent mathematical skills, and an understanding of data privacy standards.
  • Excellent time management skills.

Working Conditions

  • Seed Malawi office
  • Will be based in an office environment
  • Will be required to work up to eight hours or more per day
  • Up to 10% travel may be required domestically and/or internationally
