1. Finance & Administration Manager

The overall purpose of this job is to perform a range of financial and administrative tasks to
support daily operations of the company and to ensure compliance with the company financial policies and procedures, internal control systems in liaison with the group central finance office in Nairobi.

Key duties and responsibilities

Administration

  • Safeguard of office equipment, documents, and records at the project office and site.
  • Coordinate procurement of office and site supplies and equipment.
  • Act as facility manager for the country office in Lilongwe
  • Support the Country Director in reporting to key stakeholders on projects related matters.
  • Implement and maintain procedures/office administrative systems that build operational efficiency.

Financial Management

  • Monitor financial performance, investigate variances and ensure that billings are issued, and payments collected.
  • Provide accurate and timely financial information to management for decision-making and financial control.
  • Prepare monthly management accounts for in liaison with outsourced accounting function where applicable and report to the group accounting teams as per the prescribed reporting deadlines.
  • Prepare and file tax and other regulatory returns, including Withholding taxes, VAT, PAYE and Pension deductions.
  • Ensure compliance with the company finance policy and procedures manual and the internal control systems of the company.
  • Prepare necessary reports and documents for annual financial audit and liaise with the
    company external auditors
  • Prepare monthly cash flow forecast and participate in preparation of company budget.
  • Assist the country director is preparation of monthly country report
  • Maintain the company General ledger and ensure that all transactions are correctly posted and have the necessary supporting documents.
  • Maintain the Company Fixed Asset Register and ensure it is updated with additions, disposals, depreciation.
  • Negotiate with banks on the best foreign exchange rates where applicable.
  • Ensure the company complies to tax and other regulations.
  • Regular communication feedback to the Group Finance Team on finance matters.
  • Ensure proper document records; soft and hard copies in line with agreed company
    procedures including invoices, agreements, and other finance related documents.
  • Keep abreast with updates in IFRS, interpretation of the same and application of the standards to the relevant entities in the group; and
  • Any other responsibilities that may be assigned to the job holder by the supervisor from time to time.

Cash flow Management

Work with central team to ensure compliance with debt covenants.

  • Work with the Group Finance Team, ensure sufficient liquidity for operations, CAPEX
    investments and debt service; and
  • Placement of financial guarantees and bonds with the banks.

Reporting

  • Preparation of monthly country reports and submitting such reports to the Group Finance Team for consolidation.
  • Assist the central finance function in preparation of reports to lenders and ensuring that such reports are submitted within the stipulated reporting timelines; and
  • Assist the Group Finance Team and the Country Director with any other financial reporting for external stakeholders.

  • Internal Relationships: All staff
  • External Relationships: lenders, consultants, auditors, accountants’ government officials and other stakeholders

Knowledge, experience, and qualifications

  • Bachelor’s degree in Business Administration, Economics, Finance, or other business-related fields from a recognized institution.
  • At least 5 years’ experience in a similar capacity.
  • Must be a qualified accountant with relevant professional qualifications such as Institute of Chartered Accountant in Malawi or ACCA.
  • Ability to work with others and manage multiple time-sensitive matters in a demanding, fast-paced and fluid environment.

Technical Skills

  • Knowledge of International Financial Reporting Standards.
  • Working knowledge of financial information management systems.
  • Ability to coordinate budget making process and monitor budget performance.
  • Analytical skills.
  • Consolidation of accounts; and
  • Knowledge of working with taxes in Malawi.
