We are increasing our Administration Team and therefore have an opportunity for a detail orientated and experienced Executive Assistant to support our Operations Director and Managing Director commencing 1st July 2024.

The successful candidate will have the opportunity in this role to grow within the business and learn different aspects of the organisation.

JOB DESCRIPTION  

Primary Function

The Executive Assistant will be required to assist the Operations Director and Managing Director with complex duties and sensitive information, as well as ensure the smooth running of the Healix office.

The role will provide a high level of service to customers and internal teams.

Key Responsibilities

The Executive Assistant key duties listed below will be based in Blantyre.

  • Provide administrative support to ensure efficient office and technical operations
  • Maintain physical and digital filing systems
  • Answers phone calls and directs callers to appropriate personnel where required, and responds to emails and other digital queries and correspondence
  • Schedules appointments, signs for packages, and assists clients.
  • Organise and prepare for meetings, including gathering documents and attending to logistics of meetings.
  • Co-ordinate travel arrangements.
  • Researches as requested and compiles and summarizes information for reports or presentations
  • Arranges monthly stock takes with the Technical Team, and submits the report in a timely fashion.
  • Works with sensitive information with discretion to maintain confidentiality
  • Ensures deadlines are met and adapts to changing priorities
  • Presents a positive and professional image for the business.

To perform this job successfully, the successful candidate must be able to demonstrate performance of each of the responsibilities satisfactorily in a comparable business or industry. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Experience:

The candidate must have a minimum of 2 years work experience in a similar role in an office environment.

Education:

  • Diploma in Business Administration
  • Bachelors in Business Administration or similar is not required, but advantageous.

Required Knowledge/Skills:

  • Strong interpersonal and customer relationship
  • Effective Time Management and multi-tasking
  • Data management and entry skills, including the ability to maintain and improve filing systems
  • Detail orientated
  • Accurate record keeping and attention to detail
  • Ability to work independently, and also in collaboration with others
  • Organization skills
  • Experience or knowledge of laboratory equipment is a positive, but not required

Computer/Software:

  • Proficient use of Microsoft products (Word, Excel, Outlook, Powerpoint).
