We provide a partnership in supporting your goals and event needs. Peak Events requires the services of an Events Officer to perform the following duties;

Duties and Responsibilities

  • Be the first point of contact for customer queries and bookings and responding in a professional and timely manner
  • Check with warehouse if items in stock are clean and available before taking bookings
  • Visit sites for events before and during activities in order to have a better understanding of needs
  • Systematically review all events to ensure that there are no double bookings
  • Keep a record of all enquiries from tentative to confirmed bookings
  • For all bookings outside Peak Events, establish the route to the destination, contact persons and numbers, starting and ending times for events, etc. This information should be passed onto the events coordinator and the driver;
  • Process and follow through all quotations and prepare invoices for confirmed events
  • Keep a hard copy of bookings and update the soft calendar on the computer on a daily basis to ensure that the two are exactly the same every day
  • Prepare a daily summary of invoices and pass these to accounts for posting in QuickBooks and payment by customers
  • Take a keen interest in checking with accounts that all invoices are paid and help follow up as necessary
  • Build and keep a database of customer files with names and contact numbers and e-mails. This information is essential for Peak Events to maintain a relationship with all its customers.

Qualification / Experience Requirements

  • At least 3 years’ work experience in the events or hospitality industry field is an added advantage
  • Be an advanced diploma holder in Hospitality / Tourism / Business Administration / or Marketing from a recognized institution
  • Must be fluent in English and Chichewa
  • Must have good knowledge of Lilongwe and surroundings
  • Must have advance Microsoft and Excel skills
  • Must have excellent customer service / communication skills towards staff and customers from all walks of life
  • Strong problem solving and organization skills
  • Professional attitude and presentation
  • Must be willing to work some weekends
  • Must be able to work under pressure
