Position: Driver/Office Assistant

Background

The Lilongwe University of Agriculture and Natural Resources (LUANAR) has received financial support from USAID (the United States Agency for International Development) to implement a 5-year project entitled Leveraging Local Capacity to Strengthen Health Service Delivery – Human Resource for Health (HRH) # 3 – Nutrition 4 Health Activity in Malawi. Through the project, LUANAR aims to strengthen national capacity to accelerate effective responses to nutrition problems that affect the health of Malawians, which consequently stagnate national development. Working in collaboration with CSONA (the Civil Society Organization Nutrition Alliance), LUANAR will, through the project, achieve the following outcomes: i) Establishment and deployment of locally trained dieticians in Malawian secondary and tertiary hospitals; ii) Superior personnel graduating from LUANAR in the areas of nutrition, dietetics and food science; iii) Enhanced capacity to undertake and publish ethically- sound research in nutrition, dietetics and food science; iv) An updated food composition database and tables containing no less than 600 foods that are commonly consumed in Malawi; v) Increased budgetary allocation to nutrition and dietetic training and resources; and, vi) Increased number of LUANAR staff trained to MSc and PhD levels in Nutrition and Dietetics. To facilitate project implementation, a Project Coordinating Unit (PCU) will be set to house all key personnel who will be tasked to manage and implement the Project. Therefore, the project intends to recruit a suitably qualified Driver/Office Assistant.

 

 

Terms of Reference for Driver/Office Assistant

Main Duties and Responsibilities

The Driver/Office Assistant will be responsible for the following core duties and responsibilities:

  • Driving Project vehicles for official duties.
  • Facilitating timely maintenance of Project vehicles and maintenance reports.
  • Collecting and delivery of mail, cheques, documents plus other communications and items.
  • Moving files from one office to another.
  • Assisting in photocopying.
  • Helping with filing of documents, keeping records and inventory of Project materials.
  • Helping in the supervision of any minor repairs that need to be done in the office.
  • Maintaining car logs of official trips, daily mileage, gas consumption,, greasing
  • Ensuring availability of all the required documents/supplies including vehicle insurance, vehicle logs, oil changes, office directory and necessary spare parts.
  • Ensuring that all immediate actions required by rules and regulations are taken in case of involvement in accidents.

Qualifications and Core Competences

  • Malawian with Malawi School Certificate of Education or its equivalent.
  • A valid C1-PG driver’s license plus defensive driving certificate.
  • At least 3 years’ work experience as a driver and with a safe driving record.
  • Knowledge of the traffic code, rules, regulations and the road traffic act.
  • Basic skills in minor vehicle repair.
  • Fluency in English (oral and written)
  • Demonstrated ability to learn operation of office equipment and arrangement of office documents.
  • Demonstrated ability to quickly shift from one task to another to meet multiple support.

Reporting

The Driver/Office Assistant will report to the Training Coordinator.

Conditions of Engagement

This is full-time contractual employment that will be reviewed annually based on performance and/or availability of project funds, but with no possibility of extension whatsoever after the life of the project. The Driver/Office Assistant will be subject to LUANAR conditions of service for staff on projects/contracts. He/she will be appropriately remunerated with all accompanying guidelines and conditions of engagement.
