Background

The Historically Black Colleges and Universities Global Health Consortium (HBU GHC) is seeking experienced Driver/administrative Assistant for its supplemental project to the Malawi DREAMS

(Determined Resilient Empowered AIDS free Mentored and Safe) program for vulnerable adolescent girls and young women (AGYW) with an increased focus on generating interest in high school completion, reduction in teenage pregnancy and HIV infection.

The HBCU GHC work in Malawi is funded by United States Department of Health Resources and Services Administration (HRSA) through the Presidential Emergency Plan for AIDS Relief (PEPFAR) under grant funding for Leveraging Health Service Equity Approaches for Sustainable HIV Epidemic Control.

The HBCU GHC Project aims to collaborate with the Ministry of Health and the DREAMS program to train adolescents, girls, and young women (AGYW) to address health care delivery gaps for essential health services in HIV prevention, care, and treatment. The intent is to build a sustainable economic pathway as trained Disease Control Surveillance Assistants (DCSAs).

To achieve these aims, HBCU GHC seeks dynamic and highly experienced candidates for the Driver/ Administrative Assistant HBCU GHC positions based in Blantyre, Malawi.

Role Objectives

The responsibility of the HBCU GHC Driver/Administrative Assistant will be to provide safe, efficient and effective services to HBCU GHC staff and official visitors when required. This includes professional and safe driver services, and efficient messenger and administrative support. The HBCU GHC Driver/ administrative Assistant is discreet, courteous, has strong interpersonal skills and ensures the vehicle is always clean, in good running condition and regular maintenance schedules are followed.

Transport of passengers, goods and / or documents:

  • Provide safe and punctual driving services to all HBCU GHC Staff and official Visitors.
  • Excellent knowledge of Malawi Road Traffic laws and regulations.
  • Regular checking and follow up of the driver planning using the transport schedule.
  • Collecting and delivering of mail instructed by the transport schedule.
  • Ensure the safety of passengers and vehicles at all times when on duty.

Vehicle maintenance:

  • Daily check of oil, water, brake fluid, battery and tyres properly and keep the official vehicles in clean condition, both inside and outside.
  • Ensure the vehicle has adequate petrol level at all time and that it is filled up with petrol every Friday or when need arise.
  • Ensure vehicles are serviced on time and schedule vehicle servicing time with Finance and Administration Coordinator.
  • Ensure sound running of the vehicles assigned, report and arrange minor repairs where necessary.

Office Assistance/Administration:

  • Keep track of timely renewals of Insurance, COF and Carbon tax for both vehicles and motorcycles.
  • Complete daily vehicle mileage in the assigned log books for each vehicle used -including petrol/diesel and oil purchases- and ensure monthly vehicle report is submitted.
  • Prepare fuel replenishment requests and submit the same to Puma for loading.
  • Assist the Finance & Admin Coordinator with sourcing quotations as need arise.
  • Assist with photocopying and scanning of documents for filling.
  • Assist with organizing meetings, reservation of the conference room and video-conference.
  • Running official office errands.
  • Support with any other administrative duties as need may arise.
  • And any other duties as assigned

QUALIFICATIONS, EXPERIENCE AND SKILLS:

  • Should have a Valid Motor Vehicle Class PG
  • MSCE or Equivalent, other qualifications will be added advantage
  • Should have at least 5 years’ professional driving work experience preferably in International
    NGOS.
  • Knowledge of local geography, including the locations of key government offices, project sites, and other relevant destinations.
  • Basic understanding of navigation tools, such as GPS devices or smartphone applications.
  • Excellent interpersonal communication skills.
    Excellent command of written and spoken English
  • Should have motorcycle riding skills.
