Maikhanda Trust

Maikhanda Trust is a local Non-Governmental Organization which was launched in 2006 to save the lives of mothers and their babies by working in close partnership with Reproductive Health Unit of the Ministry of Health towards the achievement of Malawi’s “Road Map for accelerating the reduction of Maternal and Neonatal Mortality and Morbidity in Malawi”. It supports their efforts to improve healthcare simultaneously in communities and at health
facilities.

Maikhanda Trust is looking to recruit energetic, highly motivated and well experienced persons to fill the position of:

(1) Director of Finance and Administration and (2) Human Resources and Administration Manager (all positions based at Head Office- Lilongwe)

Job brief

Reporting to the Executive Director, the Director of Finance and Administration is a senior member and will form part of the Senior Management Team of Maikhanda Trust.

Overall function of the position is to oversee all financial aspects of the organization and drive the financial strategy and planning. He/she will be responsible for assessing the financial performance of the organization as well as possible risks and investments. He/she is a reliable professional with broad knowledge on all accounting, financial and business principles. He/she should be a strategic thinker and an effective leader analytical and, a talent for finance and administration who can make the most profitable decisions.

He/she is expected to streamline the operations of the Organization and ensure that administrative functions run smoothly, eliminate wastage, and improve the Organization
financial standing through accurate monitoring and budget forecasting.

Key Duties and Responsibilities

(A) Finance Functions

  • Driving the financial planning of the Organization by analysing its performance and risks
  • Retaining constant awareness of the Organizational financial position and acting to
    prevent problems
  • Providing leadership for formulation of financial accounting strategies to ensure that financials services contribute effectively and efficiently to the goals of the organization
  • Advice the Executive Director on financial matters and establishing appropriate policies and procedures to ensure compliance with legal and professional standards.
  • Facilitate the preparation of financial statements and production of cost, management, revenue and expenditure accounts
  • Review project proposals, deliverables, budgets and budget notes for compliance
    with Government policies and donor specific requirements with emphasis on the financial aspect.
  • Ensure that financial controls are place
  • Design and deploy systems and internal financial controls for effective safeguards of the organisations resources
  • Track projects financial performance across all compliance areas i.e. advance request,
    liquidations
  • Analyse trends to reduce financial risk associated with spending decisions
  • Set targets for and supervise all accounting and finance personnel (management accountants, internal auditors etc.)
  • Coordinate and lead the annual audit process, liaise with external Auditors and the Finance and Audit Committee of the Board on audits and internal control operations
  • Ensure adherence to financial laws and guidelines
  • Provide financial oversight over donor budgets, including initiating and tracking payments, burn rates against donor budget terms,
  • Effectively communicate and present the critical financial matters to the Board.

(B) Administrative Functions

  • In Coordination with the Human Resources and Administrative Manager, develop administrative strategies and initiatives aligned with the overall goals of the organization
  • He /she should be a result -driven and ethical with strong leadership skills to manage and improve the efficiency of the Organizations operations.
  • Take responsibility for the effectiveness and efficiency of the organization administrative services in assets management, transportation, security, procurement and environmental health
  • Develop the corporate fundraising strategy and manage relationships with partners and investors
  • Oversee staff in finance and administration, including giving directions and delivering
    periodic evaluations.
  • Managing administrative and finance staff, guiding operating methods,
  • Oversee day to day operations
  • Maintaining corporate relationships
  • Develop Organization Policies

Requirements and skills

  • Master’s Degree in accounting /Finance or Business Administration and full professional qualification such as: ACCA, CPA, CIMA
  • At least ten (10) years relevant post professional qualification experience five (5) years must be at Senior management level.
  • Must have experience in financial Management for NGOs and good understanding of different donor requirements, systems and procedures
  • Proficiency in accounting software i.e. SAGE PASTEL EVOLUTION software package or similar accounting software
  • Strong analytical skills
  • Broad knowledge of accounting principles and financial management Experience
