The Technical, Entrepreneurial and Vocational Education and Training Authority (TEVETA) is a

regulatory body that was established in 1999 by an Act of Parliament with the mandate to coordinate and facilitate technical, entrepreneurial and vocational education and training in Malawi. Apart from the Secretariat in Lilongwe, the Authority has three regional service centres in Mzuzu, Lilongwe and Blantyre.

Employment opportunities have now risen within the Authority for the position of Assistant

Procurement Officer for which the Authority invites suitably qualified professionals to apply.

Reporting to Procurement Officer, this position requires a friendly and energetic individual who

shall be responsible to assist in carrying out routine procurement activities and record keeping and documentation in accordance with the Public Procurement Act No. 2017, Public Procurement Regulations and Desk Instructions.

Key Duties and Responsibilities

  • Preparing Requests for Quotation (RFQ), tender documents, contractual agreements and purchase orders in accordance Public Procurement Act and TEVETA procurement guidelines
  • Updating a yearly procurement plan;
  • Maintain good working relationships with suppliers and ensure regular and effective communication to ensure that ordered goods or services are delivered within the agreed delivery time and specifications;
  • Participating in conducting regular market surveys on prices;
  • Ensuring quality products and services are sourced and supplied at the best prices;
  • Generating Local Purchase Order using Sage Software:
  • Ensuring that accurate procurement records are maintained, including all actions and documents for Safeguards the integrity of procurement documents;
  • Participating in suppler performance evaluation and rating and recommend action on poor performance;
  • Assisting in handling supplier payment documents;
  • Providing secretarial services to the evaluation and IDC meetings
  • Assisting in the preparation of monthly and quarterly procurement reports
  • Maintain procurement database and register
  • Filling all necessary documents for safekeeping.

Required qualifications and work experience;

To be considered for this role, you will need to possess a Degree in Purchasing and Supply or Advanced Diploma in Procurement and Supply (Level 5 CIPS), 2 years’ practical experience in a similar field and a member of Malawi Institute of Procurement and Supply. Possession of a driver’s licence would be an added advantage.

Attributes for this position include excellent customer service skills, integrity, ability to meet deadlines and prioritize assigned tasks, proficiency in use of IT software like Sage and applications such as Microsoft Suite (Word, Excel, Outlook and Power point) and interpersonal communication skills.
