Smallholder Farmers Fertilizer Revolving Fund of Malawi SFFRFM

Smallholder Farmers Fertilizer Revolving Fund of Malawi (SFFRFM) was incorporated in 1988 as a Trust Fund under the Trust Incorporation Act of 1992 to procure, store, distribute, and sell fertilizers to smallholder farmers. Its primary role was to ensure that smallholder farmers, defined as farmers who grow their crops on customary land have an opportunity to access and buy affordable fertilizer at all times. The Fund is inviting applications from suitably qualified candidates of Malawi origin to fill the following posts:

ADMINISTRATION OFFICER

Department: Human Resources and Administration

Reporting to: Director of Human Resources and Administration

PURPOSE OF THE JOB

Overseeing the day-to-day operations of an organization’s administrative services. This includes managing administrative staff, ensuring that office procedures are followed, and coordinating administrative support services. The Administration Officer is also responsible for developing and implementing policies and procedures to improve efficiency and productivity within the Fund.

KEY DUTIES AND RESPONSIBILITIES

  • Supervising and managing administrative staff, including
    hiring, training, and evaluating performance;
  • Developing and implementing administrative policies and
    procedures;
  • Overseeing office operations, including managing supplies,
    equipment, and facilities;
  • Coordinating administrative support services, such as mail
    distribution, record keeping and data entry;
  • Managing budgets and expenses related to the administrative department;
  • Ensuring compliance with relevant laws and regulations;
  • Liaising with other departments and external stakeholders to coordinate administrative activities;
  • Identifying areas for improvement and implementing solutions
    to enhance efficiency and productivity;
  • Handling employee relations issues and resolving conflicts
    within the administrative team;
  • Providing support to senior management and assisting with special projects as needed;
  • Conducting training needs assessment and developing staff development and training plans and programmes;
  • Property management;
  • Fleet management;
  • Preparing periodic reports;
  • Allocating work and appraising staff.

QUALIFICATIONS AND WORK EXPERIENCE

  • Bachelor’s Degree in Business Administration from a reputable and a NCHE accredited university.
  • At least three (3) years’ work experience in a busy organization.
