Job Title : Administration Officer

Grade : GBA 4

Reporting to : HR and Administration Manager

Direct Supervisees : Registry Clerk

Job Location : Lilongwe

Purpose

To provide administrative support in the development, review and implementation of robust administrative policies, practices and systems to the attainment of GBA vision, mission and strategic objectives.

 

 

Main Duties and Responsibilities:

  • Preparing inventory of fixed and none fixed assets
  • Facilitating the maintenance of GBA physical assets, office property.
  • Assisting in managing the GBA motor vehicle fleet by arranging for timely service, maintenance and replacement transport utilization reports, and equipment to ensure their efficient utilization and security.
  • Coordinating preparation of annual estimates of expenditure for the administration section
  • Providing logistical support to various individuals and teams carrying out GBA functions, e.g., official trips, workshops, seminars,
  • Coordinating meetings, workshops and insurance issues
  • Preparing monthly work progress reports
  • Supervising Administration Clerk, receptionist, office assistants and drivers and monitoring their performance to ensure they deliver on their job functions.

Qualifications and Experience

  • A Bachelor’s degree in Public Administration, Business Administration or Social Science with at least five years experience in administration work in a busy and dynamic organizational set up.

Person Specification

  • Technically competent in general administration work
  • Highly developed interpersonal skills, decisive and able to provide technical advice when situation requires
  • Have the drive, insight and imagination/creativity in managing a busy office
  • Ability to work with technical professionals with varied backgrounds

Accountable to : Head of Administration & HR

Responsible for : Administrative clerk, Receptionist, Office Assistants & Drivers
