There is Hope is a Christian Non-Governmental Organization which was registered under the Malawi Trustees Incorporation Act on 31 December 2007. We are a member of NGO Board and CONGOMA (Council for Non-Governmental Organizations in Malawi).

JOB PURPOSE

The Administration and Human Resource Coordinator is responsible for facilitating all key administration and human resources functions and programs of the organization. The position reports to the Executive Director of There is Hope.

DUTIES AND AREAS OF RESPONSIBILITIES

Administration

Supporting and overseeing the Administration Officer to ensure efficient and consistent operations as the organization grows by:

  • Working closely and transparently with all external partners including third-party vendors and consultants.
  • Reviewing and ensuring compliance with all contracts entered into by TIH.
  • Evaluating and maintaining adequate insurance coverage to meet the changing needs of the organization. Ensuring that policies are timely renewed or replaced, claims are filed and resolved and managing the relationship with the insurance carriers and agents.
  • Performing other duties as assigned.

Human Resources

Supporting all human resources functions of the organization by:

  • Developing and implementing sound human resource strategies and enforcing departmental accountabilities.
  • Ensuring good recruitment and staffing through identification of right candidates, performing reference checks, issuing employment contracts and employee induction.
  • Recommending, planning and implementing pay structure revisions, compensation, health benefits, training and development,
  • Developing and maintaining records management system, employee relations and retention programs and labor relations.
  • Recommending changes and supporting the work of the Human Resources Committee.
  • Supporting management and employees by providing talent management advice, counseling and decisions.
  • Maintaining knowledge of industry trends and employment legislation.
  • Ensuring compliance with Government legislation pertaining to all personnel matters as well as representing the organization at hearings.
  • Developing human resource policies and other personnel procedures and communicating any changes to staff.
  • Assisting management in the annual review process, preparation and administration of TIH’s wage and salary program, job descriptions and employee evaluation process.
  • Conducting exit interviews to determine reasons behind separation and in conjunction with the Senior Management Team, developing strategies for retention.
  • Consulting with legal counsel as directed on personnel matters.
  • Supporting staffing by managing the document flow for hires, terminations, leaves, salary changes, special payments and ensuring that new hires have adequate workspace and office equipment.

Minimum Requirements

  • Bachelor’s Degree in Human Resources Management or Public Administration from a recognized University; a Master in Business Administration or Human Resources Management as added advantage
  • Ability to manage people; good problem solving and analytical skills;
  • Knowledge of HR planning process, policies and procedures
  • Good understanding of labour laws and office procedures;
  • Excellent written and verbal communication skills in both English and Chichewa;
  • 5 + years relevant experience at a senior level in a busy organization preferably in an NGO
