Ready to make a real impact? As an Administration and Finance Officer, you’ll ensure flawless financial operations by maintaining accurate records, preparing key reports, and supporting audits. Reporting to the Country Manager, you’ll work closely with our accounts and treasury teams while engaging with tax authorities and consultants. Duties and Responsibilities (Include but are not limited to):
- Prepare monthly operations and sales agents’ expenditure budgets and request funding from the Head Office.
- Consolidate weekly budgets for operations and sales supervisors, and request treasury for DBO funding.
- Ensure that all payment requests are in line with the budget by verifying all requests to the budgets.
- Coordinate budgeting for all special events (team building, EOY, etc.).
Payments
- Prepare payments for agents’ airtime and CIT on a daily basis.
- Prepare payments for Operations and Sales supervisors.
- Prepare per diem payments.
- Pay rentals for both green and orange booths in consultation with Regional Supervisors.
- Source quotations and invoices from suppliers and upload them on Fraxion system for payment processing.
- Ensure that all payments have supporting receipts, invoices, and quotations if required.
- Prepare payroll for sales and operations agents and submit to accounts for payment processing.
- Act as a contact person between Mukuru and suppliers.
Administration
- Coordinate hotel and flight bookings for staff and international visitors.
- Organize in-country staff welfare events.
- Manage staff medical aid scheme.
- Liaise with landlords for tenancy agreements, payments follow-ups, queries, and maintenance, etc.
- Complete WHT certificates and submit to MRA.
Month End Reporting
- Ensure that all expenses have been reconciled every month for postings into the zero system by the accounts team.
- Ensure that all branches have updated their petty cash sheets by the 1st working day of the month.
- Respond to queries from accounts regarding petty cash and all payments.
- Ensure that fuel card statements have been collected and submitted to accounts for system postings by the 1st working day of the month.
- Ensure that all submissions to MRA are timely done.
- Act as a contact person with the external auditors.
- Ensure that all information is available in readiness for external audits.
- Provide information requested by the external auditors.
Communication
- Internal communication with the following:
- Country Manager
- HQ Finance team
- Other in-country staff
- External communication with Banks (where required).
Manage Own Professional Development
- Attend weekly KPI meetings with the Country Manager.
- Attend all required compliance training courses and assignments.
Key Requirements
- Bachelor’s degree or Advanced Diploma (Essential)
- 2 years’ experience in financial environment (Essential) or completed articles
- Knowledge of IFRS and accounting practices
- Knowledge of preparing VAT and Corporate tax returns
- Knowledge of forex, banking regulations
- Knowledge of computerized accounting packages
- Knowledge of financial reporting and analysis
- Knowledge of budgeting and forecasting
