There is Hope (TIH) is looking for an Accountant to be based at its Lilongwe, Area 47 office.
Duties and Responsibilities
Accountant is a strategic thought-partner and a hands-on and participative leader responsible for the financial management of There Is Hope (TIH) which includes Kibebe Social Enterprise. This position is responsible for the accounting, financial reporting, budgeting, tax compliance, investments, and audit functions of the organization. The position ensures that there are effective financial and accounting system controls and standards in place.
We are seeking a detail-oriented Accountant with experience in the nonprofit sector to manage our financial operations, specifically related to donor funds. The ideal candidate will have a strong understanding of accounting principles, excellent analytical skills, and a proven track record of preparing donor reports. This role is crucial in ensuring financial compliance, transparency, and effective reporting to our stakeholders
Accountant is a member of the Senior Management Team and plays a critical role in strategic decision making and operations as TIH continues to enhance its quality programming and capacity building. This position works closely with the Executive Director to support the fiduciary and organizational compliance responsibilities of the Board of Trustees.
Key Responsibilities:
Financial Management:
- Oversee the accounting functions, including budgeting, financial reporting, and reconciliation of accounts.
- Manage donor funds, ensuring compliance with donor requirements and organizational policies.
- Monitor expenditures and ensure that all transactions are accurately recorded in the accounting system.
- Verifying and posting transactions to journals, ledgers and other records, and preparing supporting account reconciliations.
- Clearly preparing, analyzing and communicate monthly and annual financial statements and reports for all stakeholders.
Donor Fund Management:
- Track and report on donor contributions and expenditures in accordance with grant agreements.
- Prepare and submit accurate financial reports to donors in a timely manner, adhering to reporting guidelines.
- Maintain clear documentation and records for all donor funds and related activities.
Reporting and Analysis:
- Develop financial reports for internal use and external stakeholders, ensuring clarity and accuracy.
- Analyze financial data to support program management and decision-making processes.
- Assist in the preparation of annual budgets and financial forecasts.
- Updating, documenting and implementing all necessary accounting practices to improve the finance department’s efficiency and financial controls
- Track budgets to ensure expenditure is within approved budget limits.
- Preparing, communicating and presenting critical financial matters to the Finance Committee and the Board of Trustees.
Compliance and Audits:
- Ensure compliance with relevant financial regulations and standards for nonprofit organizations (ensuring compliance with any other Malawi Government’s financial, tax reporting and regulatory requirements).
- Coordinating and leading the annual audit process including liaising with external auditors and the Finance Committee of the Board of Trustees.
- Clearly preparing, analyzing and communicate monthly and annual financial statements and reports for all stakeholders.
Collaboration:
- Work closely with program staff to provide financial insights and support.
- Assist in training and capacity building for staff on financial management practices related to donor funding.
- Overseeing the preparation of annual and project proposal budgets and the planning process in conjunction with the Senior Management Team.
- Assist Program/Project Managers and Coordinators in tracking their budgets.
- Administering and reviewing all financial plans and budgets; monitor progress and changes and keeping the Senior Management Team abreast of the organization’s financial status.
- Managing organizational cash flow and forecasting and oversight of all bank accounts and investment vehicles to maintain adequate working capital and return.
- Implementing a robust contracts management and financial management/reporting system.
- Preparing and inputting payroll including the distribution and reporting processes for payroll; the calculation of wages, overtime and deductions; and the maintenance of on-site employee records to ensure compliance with applicable regulations.
Other Responsibilities
- Attend Senior Management Team meetings, staff meetings and other relevant ad-hoc meetings.
- Do any other duties that the Executive Director may assign as well as all the needful towards achieving TIH objectives in line with the constitution, strategic plan and Terms and Conditions.
Qualifications:
- Bachelor’s degree in Accountancy, Finance, Commerce, Business Administration or Economics.
- A professional ACCA or CIMA certification is an added advantage. Registered and good standing member with ICAM.
- Minimum 5 years of accounting experience, preferably in an NGO or nonprofit setting.
- Strong knowledge of donor funding mechanisms and reporting requirements.
- Proficiency in accounting software (e.g., QuickBooks) and MS Excel.
- Experience with financial management of grant-funded projects.
- Familiarity with financial regulations relevant to nonprofit organizations.
- Excellent understanding of financial planning, financial systems, and budgeting
- Excellent analytical skills – ability to analyse complex financial data and design and produce effective financial management information
- Excellent planning, management and coordination skills
- Strong organizational and management skills including problem solving;
- Strong business acumen and the ability to contribute to strategic decisions
- Relationships building skills with a wide range of people, both internally and externally.
