Job Title : Administrative Assistant
Grade : GBA 7
Reporting to : Administrative Officer
Direct Supervisees : None
Job Location : Lilongwe
Purpose
To provide efficient administrative support and secretarial services to the core functions of GBA
Main Duties
a) Handling of appointments for appropriate officers
b) Taking dictation, transcription and composing correspondence
c) Handling incoming and outgoing calls and mail
d) Maintaining appointment diary for relevant officers
e) Completing and updating documents or files for meetings
f) Maintaining and updating information and filing documents.
g) Operating office equipment
h) Filing of all office documents as required
i) Organizing the officers’ itinerary
Qualification and Experience
Diploma in Secretarial Management or Business Management and Malawi School Certificate of Education (MSCE) with at least 3 years’ experience.
Taking dictation and transcribing
Providing day to day administrative support for the office.
Taking notes during meetings and typing them
Handling correspondence and communication for the office
Performing other duties as assigned
Person Specification
Excellent oral and written communication skills
Good interpersonal skills and courteous;
Ability to use various operating office machines and equipment;
Be computer literate in Microsoft Word and ability to use the Internet.
Able to communicate effectively with people of different levels
Willingness to work after normal working hours and during weekends
Have; and
Be computer Literate.
