Job Description
Main Purpose of the Job:
Provide efficient and effective procurement service which will deliver optimum value for money, cost savings and best quality of service. Support full compliance of procurement activities with grant specific rules, regulations, policies and strategies; implementation of the effective internal control; Company funds are spent in a regulated manner to secure goods and services.
Required Education & Experience:
- Diploma in Procurement / any relevant qualification
Technical & Behavioural Competencies:

Key Performance Areas:
- Assisting the Procurement Manager in compiling and processing of all weekly procurement requests made from all project sites.
- Sourcing bids and quotations for goods and services requested by Program’s staff.
- Assisting the Procurement Managers in analyzing bids and quotations received and ensuring that requests for payments to the successful bidder are accurate and timely done.
- Preparing Purchase Orders, Contracts and renewals and facilitating submission of the same to suppliers and expediting deliveries and service standards
- Acting as a Secretary for the Internal Procurement Committee and responsible for producing procurement minutes for IPC meetings.
- Handling enquiries from the Programs’ staff and updating them on progress of their purchase requisitions
- Following up on customs clearing processes with MRA for imported goods in liaison with the Procurement Manager.
- In Liaison with the Transport Officer, assisting the Procurement Manager in handling service and maintenance of all project vehicles.
- In Liaison with the Transport Officer, oversee the handling of fuel requests, and ensure fuel payments, deposits and loading fuel in all projects’ fuel cards are done timely and in the correct order for easy follow-ups and reporting.
- Working hand in hand with the Transport officer in logistics planning for supplies to district sites
- Production of the distribution schedule for supplies and commodities as requested by district teams
- Ensuring that payments are delivered to the suppliers and collecting the goods purchased and making sure all payment vouchers have the necessary procurement documents attached.
- Ensuring that the finance office is timely provided with receipts and relevant procurement documents for liquidation and reconciliation.
- Ensuring that accurate records are written in the Goods Received Notebook for received goods.
- Ensuring that items are being recorded accurately in the Delivery Notebook prior to distribution and following up of proper filing of the same.
- In liaison with the Inventory Officer, ensure that the Inventory Register is updated upon receipt of new assets
- Consolidating of all records for purchases made in an Electronic Procurement Trucking and Status Update.
- Producing consolidated monthly reports of purchases made from all projects.
- Proposing and ensuring that the filling system is up to date, accessible and responsive to auditing requirements for all types of transactions

Right to Care (RTC) is a non-profit organisation (NPO) that supports and delivers prevention, care and treatment services for HIV and tuberculosis (TB), sexually transmitted infections (STIs) and Hepatitis C. RTC is a registered Public Benefit Organisation (PBO).
The RTC Group includes RTC South Africa, RTC Zambia NPC, RTC Malawi NPC, RTC Lesotho NPC, RTC United States NPC and Right ePharmacy. We develop and implement innovations in health technology, data science, pharmacy delivery and clinical care. Technical assistance and direct service delivery are provided and implemented by RTC International division in Lesotho, Malawi, Tanzania, Uganda, Zambia, Haiti, Myanmar, and Ukraine. RTC International harnesses best practice solutions focused on ending the global HIV pandemic.
