Nkhoma Synod Youth Department invites applications from suitably qualified and experienced candidates to fill the vacant positions as follows;
Title: Finance and Administrative Officer
Supervisor: Nkhoma Synod Youth and Children’s Director
Duty Station: Lilongwe
Contract period: 2 years
Job summary
The holder will be collecting, analyzing, recording and reporting the financial data of the department to the Director, to the Board Members, Synod General Treasurer, and the Project Partners. He/she will ensure that the department is complying with all the Synod and government financial rules and regulations. She/he will be responsible for financial audits, reconciling bank statements, and ensuring financial records are accurate throughout each financial year.
The Key Responsibilities/Specific Duties:
- Ensure compliance and consistency with the policies and procedures, as well as compliance with the terms and conditions of agreements with the Synod and other stakeholders.
- Records and accounts for daily transactions, ensuring accuracy and completeness of required files and supporting documentation serving as evidence of transactions.
- Ensure sound cash management of bank accounts and maintains petty cash fund.
- Process cash disbursements in accordance with financial management policies and established approval levels.
- Oversee payroll processing, employee benefits, and compliance with tax regulations i.e. MRA, PAYE
- Responsible for full accounts payable function from procurement through payment of invoices.
- Process employee expense reimbursements
- Performs month-end closing and year-end duties such as reconciliations, VAT reimbursements, inventory lists, etc.
- Responsible for procurement activities in accordance with the CCAP Nkhoma Synod procurement policy.
- Prepares and submits reports and filings in compliance with existing government laws.
- Provide assistance to other staff in departmental budget preparation.
- Checking and verification of all cash liquidation from Youth department staff.
- Ensure adherence to approved financial policies and procedures, as well as donor requirements.
- Reviewing payments, advances, inter-office charges, cash and bank reconciliations based on proper supporting documentation on regular basis.
- Being a point of contact with other departments on financial and accounting matters
- Adhere to all safeguarding policies and principles while executing his/her duties
- Serve as the primary liaison with internal/external auditors, preparing accounts and reports for external audits, responding to audit queries and following up and acting on audit recommendations.
- Supporting the human resources functions and all administrative work.
Required Experience and Qualification and Attributes
- Bachelor’s degree in Accounting, Finance, or a related field from a well reputable Institution accredited by NCHE.
- 3+ years of experience in accounting
- Proficiency in accounting softwares, particularly QuickBooks is a MUST.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High level of accuracy, attention to detail, and problem-solving skills.
- Ability to work independently and as part of a team.
- Strong understanding of financial reports, budgets, and reconciliations.
- Possessing cultural awareness and sensitivity
- Be a matured and devoted Christian of sound standing in their local church.
