Background

Founded in 1987, AIDS Healthcare Foundation (AHF) is a global organization providing cutting-edge medicine and advocacy to over 2 million people in 47 countries. In Malawi, AHF is working in partnership with the Ministry of Health to strengthen access to quality of HlV/AlDS, Tuberculosis (TB) and Sexually Transmitted infections (STl) treatment. The organization provides cutting edge treatment and medical care in some hard-to-reach health facilities located across five districts of Lilongwe, Dedza, Ntcheu, Nsanje and Chikwawa, with plans to expand services to Nkhotakota district in 2025.

FY 2025 expansion also includes the opening of a wellness centre clinic that will be implemented at Biwi health centre in Lilongwe. The wellness clinic will provide Reproductive Health Services,
focusing on sexually transmitted Infections and cervical cancer. The Wellness Clinic project will have an operations research component.

Job Advertisement: Data Clerk/Linkage Assistant (1)

Location: Biwi Health Center, Malawi

Reports To: Monitoring and Evaluation Officer

Overall Responsibility:

Responsible for accurate statistical reporting and patient linkage at Biwi Health Center. This role integrates data management with client follow-up to improve program efficiency and patient care outcomes.

Key Responsibilities:

  • Maintain and update HIV program records (ART cards, registers, EMRs) to ensure accuracy and security.
  • Perform administrative tasks, including data entry, filing, and retrieval of relevant information.
  • Ensure all necessary tools for data management and reporting are available (registers, stationery, patient cards).
  • Collect and compile weekly, monthly, and quarterly data for reporting purposes.
  • Input data into relevant platforms (e.g., Web Portal, Excel) and generate required reports.
  • Track and report HIV-positive client referrals and their outcomes.
  • Develop mechanisms for tracing patients who miss appointments or default treatment.
  • Work closely with HIV care/treatment and testing teams to reach out to HIV-positive clients, encourage their engagement in care, and monitor their linkage to and retention in the system.
  • Follow up with clients through phone calls, arrange home visits, and collaborate with community structures to reach newly diagnosed HIV-positive clients not yet linked to care.
  • Make notes and regularly update appropriate linkage and retention tools during client contact.
  • Collaborate with the clinic team to identify, follow up, and support clients who miss appointments or disengage from care.
  • Support Health Surveillance Assistants in conducting community follow-ups for clients unreachable by phone.
  • Reach out to partners of recently diagnosed HIV-positive clients and invite them for HIV counseling and testing services.
  • Support other facilities requiring assistance with data collection and reporting.
  • Attend and contribute to data meetings and general staff sessions.
  • Provide high-quality data collection for implementation research and program evaluation
  • Support community activities to raise awareness and create demand for HIV care and treatment.

Qualifications:

  • Certificate or Diploma in IT, Statistics, or a related field, and 2+ year of relevant experience.
  • Proficiency in MS Office (Access, Excel, Word) and data management tools.
  • High attention to detail, ensuring 99% accuracy in data entry.
  • Strong communication and interpersonal skills with fluency in English and vernacular languages.
  • Familiarity with HIV program data management and linkage practices is an added advantage.
  • Comfortable working in a clinic environment with and meeting deadlines.
